Primary Function of Organization Unit: The mission of the PowerAmerica - Next Generation Power Electronics Manufacturing Innovation Institute (the Institute) is to develop advanced manufacturing processes and designs that will enable large-scale production and large-scale adoption of wide bandgap (WBG) semiconductors. This will allow power electronic systems to be smaller, faster, more robust, and efficient than silicon systems. This $140m project unites academic, government, and industry partners to revolutionize energy efficiency across a wide range of applications, including electronic devices, power grids, and electric vehicles. Specifically, the Institute will: * Develop critical WBG power electronic technologies, * Spark early commercialization in high value markets by stimulating demand, * Support and grow the manufacturing base, and * Nurture the U.S. WBG semiconductor industry through education programs and training. NC State was selected by the Department of Energy (DOE) to lead this Institute consortium, comprised of government, industry, and academic partners in a national effort to revitalize global energy efficiency by accelerating the large scale manufacture and adoption of wide bandgap semiconductors.
Essential Job Duties: The PowerAmerica Business Services Representative (BSR) will manage the day-to-day human resources and financial tasks of PowerAmerica, and will assist the Director of Finance and Business with higher level financial duties. Responsibilities of the BSR shall include, but not be limited to: * Independently creates milestone summary reports for delivery to federal sponsor; includes the creation of Gantt charts, workflow diagrams, and financial summaries * Involved in PowerAmerica's monthly audit review and reconciliation process, provides insights into financial decision-making in day-to-day operations. Assists with advising Contracts and Grants on sponsor's preferences and regulations. * Review, summarize and assist the Director of Finance & Business in analyzing financial and personnel information. Financial administration shall include: o Monitors and assists with reconciliation of the Institute's accounts and purchase cards o Monitor financial budgets, and initiate financial transactions o Monitors and assists with budget projections for project year ends * Assist with managing Institute Program Income and budget allocations (multiple fund sources, member dues and how they are allocated) * Coordinates with PowerAmerica students and staff to ensure compliance with University training requirements * Manages the personnel actions, including hiring, and any necessary student actions for graduate assistantships and student workers * Evaluates Graduate Student Support Plan eligibility for graduate assistants and fellows; acts as the Graduate Services Coordinator for PowerAmerica. * Enters and assesses information within PeopleSoft HR, PeopleSoft Financials, and PeopleAdmin7 databases * Proactively identifies potential external funding sources, drafts budgets and proposal narratives, contacts potential PIs, and ensures thorough and timely submission of proposals * Provides advice and counsel to the Institute's personnel in regards to university and federal policies and regulations as they pertain to financial and personnel issues * Acts as a liaison to many university offices, educating them on the Institute's procedures as well as helping to create new policies and programs * Works with Executive Director, Director of Finance & Business, Subcontract and Awards Manager, staff and partners to facilitate effective process, maintain internal workflow and coordinate resource management, client management and project communications * Organize, manage and plan all PowerAmerica industry and academic events to ensure optimization of member satisfaction for retention and networking
Department Required Skills: * Experience working with PeopleSoft Financials, PeopleSoft HR, and PeopleAdmin systems or comparable programs. * Experience supporting an HR function or processing HR transactions. * Familiarity with post-award financial processes, research administration, procurement card administration, and scheduling travel or related administrative and financial processes. * Knowledge of Google Mail, Calendar, Drive and other Google applications or related software packages. * Efficiency in Microsoft Excel, Word, and Powerpoint. * Strong interpersonal, computer, and organizational skills. * Demonstrated written and oral communication skills with a focus on providing outstanding customer service. * Ability to work independently and as part of a team. * Ability and willingness to work cooperatively with others. * High degree of discretion in dealing with sensitive information.
Preferred Experience, Skills, Training/Education: * Bachelor's degree in a business or information technology field. * Experience in a higher education or research-funded environment a plus. * Significant experience in a professional or academic environment. * Significant experience as an integral member of a support team. * Knowledge of NCSU policies and regulations. * Knowledge of federal policies and regulations.
