Position Summary

At Stony Brook Medicine, a TH Staff Assistant is a valuable member of our team, who provides administrative support and has the ability to interface with all levels of management throughout the hospital.

Qualified candidates will demonstrate superior communication and organization skills while adhering to our high standard of excellence.


Duties of a TH Staff Assistant II may include but are not limited to the following:

  • Manage the calendars for two Directors while providing support to other finance team members
  • Create/edit documents, spreadsheets, and presentations
  • Perform general office functions for the Finance Department including telephone reception, filing, managing conference rooms, ordering supplies, data entry, reconciling invoices and payments
  • Process budget transfers
  • Process invoices and purchase requisitions
  • Coordinate travel arrangements and process travel reimbursement
  • Perform additional responsibilities as required.

  • Qualifications:

    Required Qualifications: Associate’s degree and two years related experience in an administrative capacity. Proficient in using an email and calendar scheduling system, with prior experience using Microsoft Excel, Word and PowerPoint. Individual must have excellent customer service, as well as written and verbal communication skills. Must be highly organized and detail oriented.

    Preferred Qualifications: Bachelor's degree in related field. Experience in a healthcare finance or budget department. Experience using Outlook calendars. Prior use of Lawson as it relates to processing purchase requisitions or budget transfers.


    Special Notes: Stony Brook Medicine is a smoke free environment. Smoking is strictly prohibited anywhere on campus, including parking lots and outdoor areas on the premises.

    All Hospital positions are subject to changes in pass days and shifts as necessary. This position may require the wearing of respiratory protection, which may prohibit the wearing of facial hair.

    The selected candidate must successfully clear a background investigation. Prior to start date, the selected candidate must meet the following requirements: Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services (The hiring department will be responsible for any fee incurred for examination), submit (3) written references, and provide a copy of any required New York State license(s)/certificate(s).
