Position Summary:

The Instructional Coordinator is responsible for providing assistance and support in the planning, organizational and operational functions of the School of Science and Technology (S&T), and for the coordination and management of routine operations and procedures in the Architecture, Engineering and the three Computer Technologies departments of the School of S&T. The Instructional Coordinator assists in all areas of the school operations and administration with an emphasis on schedule building and faculty contract procedures. Other main duties include proofing EPC documents in Curriculog, proofing the yearly catalog in Acalog, coordinating textbook adoptions and preparing reports for the Dean of the School of Science and Technology.

Supervisory Responsibilities:

Organize and coordinate the development of the credit schedule of classes and course information with the department chairs for submission to the Office of Records and Registration, including the assigning of faculty to sections and room assignments each semester.

Function as liaison between departments and the Office of Records and Registration to ensure appropriate room assignments, corrections to the class file and schedule, both printed and on-line, and other administrative matters. Research and resolve discrepancies.

Generate overload contracts for the full time faculty on a semester/term basis.

Generate special term and distinguished lecturer contracts as needed for the departments.

Generate contracts for all adjunct faculty on a semester/term basis.

Data entry, preparation and analysis of faculty load reports. Monitor adjunct loading, notifying the chairs of overloaded faculty. Maintain adjunct faculty files.

Coordinate the scheduling of designated credit/noncredit share (CNS) courses with the School of Continuing Education and Workforce Development.

Notify department chairs when the textbook requisition database is open for textbook adoption entries. Monitor entries and make sure all of the textbooks are entered for the courses that are being offered for that semester. Inform the appropriate department chairs about missing adoptions and follow adoptions in the system until they have been approved by the chair. Contact the appropriate publisher for desk copies of textbooks for full time and adjunct faculty and distribute the desk copies as needed to the appropriate faculty member or department chair.

Proofread, coordinate and maintain the departmental Educational Policies and Curriculum (EPC) documents and attend EPC meetings when necessary. Monitor the college catalog changes through the electronic catalog process ensuring all EPC changes have been included. Coordinate edits with the college catalog editor.

Monitor sections for run sessions and report to the Dean recommendations of cancellations and runs from each department. Notify department chairs, Registrar and bookstore of Dean's decisions. Cancel classes and give information to the main office so they can call the students.

Maintain program and course files for the assigned departments.

Identify part-time faculty eligible for promotion and process promotional paperwork.

When doing the schedule of classes, assign sections to room for the credit classes for Architecture, Engineering and three Computer Technologies departments each semester and also suggest rooms for other departments on campus and continuing education for the CALT building.

Maintain an account at the bookstore to use for emergency purchasing of textbooks if they are not readily available from the publisher. This account gets zeroed out by the end of June each year.

At the direction of the Dean, originate and assist in the collection and analysis of data for reports to be sent to chairs, faculty, administrators, etc.

Other duties as assigned by the Dean of the School of Science and Technology.

Required Qualifications:

Minimum Level of Experience Required: Minimum of 3 years of relevant experience.

Minimum Level of Education Required: Bachelor's degree.

Other Minimum Requirements:

  • Excellent oral, written and interpersonal communication skills. Demonstrated ability to work collaboratively with others in a team setting and a strong commitment to providing excellent customer service.
  • Proven ability to work with a variety of technology packages in a Windows environment, including word processing, database management, data retrieval and presentation.
  • Ability to work independently with attention to details and accuracy.
  • Demonstrated organizational skills.
  • Ability to deal professionally, tactfully and effectively with students, faculty, administrators, staff and the public.

Preferred Qualifications:
  • Experience in post-secondary setting, especially a comprehensive community college, strongly preferred.
