Under the direct supervision of the Senior Director of Finance Operations, the Administrative & Operations Assistant is responsible for the overall administration of the Seattle Campus operating budget and customer service functions. The Operations Assistant is responsible for ensuring prospective students, families and visitors are well served and ensuring students and faculty are appropriately set up to conduct classes and ensuring any computer equipment checked out that day is returned at end of session.
The incumbent will provide administrative management of fiscal campus operations and ensure the completion of the campus budget reconciliation, processing TNS weekly hours into the software platform, assist the Seattle Dean with T&E expense report creation, prepare direct payment / requisition request and administer I-9 verification for new hire's.
This position is stationed at the front desk and will be the first point of contact. He/She will respond to requests from current or prospective students, professors and event attendees and follow up to ensure satisfaction all while approaching each encounter in a gracious, attentive, courteous, and service-oriented manner.
Duties to include but not limited to:
o Provide customer service and technical support to students and professors
o Room and technical equipment set up
o Support student services events
o Fields student and visiting professor's questions
o Proctoring exams
o Assist with student orientations
o Event set up and staffing as needed
o Create info session materials for various reoccurring events
o Event name tags
Bachelor’s degree required.
The ideal candidate will be professional, mature and have a minimum of three years of customer service experience, 2-5 years of budget experience, and higher education administrative experience. Excellent written and verbal communication skills, strong multi-tasking and time management skills, customer service focused and comfort interfacing with a diverse community are all required. Strong attention to detail and follow through skills are essential as well as flexibility, a positive attitude and ability to work independently as well as in a team environment. The successful candidate will be proficient in the Microsoft Office Suite— with a good working knowledge of word processing and spreadsheets. Detail orientated with focus on quality and accuracy is desired. Able to learn quickly in a technical environment, operate video conferencing equipment, printers, copiers and computers is needed. It is essential to have good interpersonal skills and enjoy communicating with a diverse community. A highly resourceful, strong investigative nature and knowledge of various market offerings especially in the South Lake Union area is very helpful.
This office is extremely busy and requires an individual with proven experiences in handling confidential materials, multi-tasking, and handling sensitive situations in a calm, thoughtful and professional manner. Must be able to manage deadlines and has a proven ability to work independently and collaboratively.
Ability to lift 50lbs and the willingness to lead in an emergency situation if necessary is preferred.
