Department: Auxiliary Services & University Housing

Position Summary: Senior Administrator in the department who has responsibility to assist with the overall quality and efficiency of the administrative activities of the department, especially as they relate to contract administration, marketing, access control, and campus card operations. Provide leadership and direction for all residence life functions of managing a residence hall. May act on behalf of the director of Auxiliary Services & University Housing in his/her absence.

Administrative Management 

  • Provide leadership for overall management of daily administrative operations of University Housing.  
  • Assist in general administration of the department to include establishment and implementation of policies, procedures, development of goals and objectives, personnel administration, budgeting and crisis management.
  • Manage designated University Housing software system and assume stewardship and analysis of all data inputted to Housing relational database. 
  • Independently, develop, implement and oversee a wide variety of Housing administrative policies including but not limited to: contract administration, housing assignment, contract cancellation/refund policy, billing policies.
  • Manage and report all student applications, resident occupancy statistics, and housing rate information.
  • Develop housing budget to propose housing rates based upon occupancy and cost.
  • Work collaboratively with FDM and building service team to effectively manage completion of maintenance work requests based upon building needs and operating priorities.
  • Promote positive management techniques by working effectively with building service worker and trades supervisors in the area.
  • Serve as a department liaison to the following offices: payroll, human resources billing, purchasing, and accounting.
  • Develop, implement, and evaluate viable customer service initiatives and resultant staff training opportunities.
  • Develop efficiency strategies to enhance overall business performance and financial opportunities while maintaining optimal customer service delivery.
  • Along with the professional team, develop, implement, and assess/evaluate departmental strategies and initiatives.
  • Serve as the University Housing contact to insure housing needs are addressed, i.e., International Student Services, Disability Services, etc.
  • Represent University Housing at collaborative planning meetings furthering all recruitment activities, i.e., Orientation, etc.
  • Monitor and evaluate resident satisfaction with housing facilities to ensure high level service.
  • Respond to and resolve housing matters from students, parents, and staff.

Staff supervision

  • Directly supervise, evaluate, and train Residence Hall Director in daily operations and provide leadership and direction for all residence life functions of managing a residence hall.
  • Serve as a second line supervisor for one Assistant Residence Hall Director (GA) and six Resident Assistants.
  • Provide direction to full time civil service staff and auxiliary services/university housing student support staff involved in customer service, housekeeping, and maintenance.


  • Develop, implement, and manage an integrated departmental marketing plan and communication strategy. 
  • Help develop and design a plan to achieve 100% occupancy in housing as well as maximize customer service satisfaction within the department.
  • Maximize the use of web communication, social media options, technology services, and other marketing options.
  • Develop, implement, and evaluate viable customer service initiatives and resultant staff training opportunities.
  • Oversee departmental websites and ensure they are maintained in accordance with University standards.
  • Identify forms, applications and other interface which will improve business operations and marketing efforts.

Conduct Management

  • Clearly communicate, interpret, and enforce university policies to students.
  • Act as a conduct officer for university housing rules and regulations.
  • Deal as appropriate with parents of students who are facing university housing policy violations and sanctions.
  • Decide on responsibility for common area damage based on the residence hall director guidelines.
  • Review of all incident reports on daily basis and work with residence hall director in determining charges and referring to community standards.
  • Assist in developing a semester summary housing conduct report as well as an annual housing conduct report.

Crisis Management

  • Develop and implement departmental policies and procedures including but not limited to emergency response protocol, crisis intervention, and appropriate referrals.
  • Provide leadership during crisis in university housing and the greater campus community.
  • Use departmental protocols to respond to emergency or crisis situations which include providing guidance to staff, paraprofessional staff, and students.
  • Participate in a rotating on call system providing emergency assistance to staff and residents.
  • Be familiar with and follow all institutional guidelines regarding emergencies.
  • Train staff and paraprofessional staff on all current crisis management policies and procedures.
  • Serve as a resource or referral for information on students of concern.

Other Responsibilities

  • Represent the Director at a variety of committees and meetings. Act in such a manner as to foster strong collegial relationships throughout the campus.

On behalf of the Director also deal with auxiliary services, vendors, business contacts and members on the external community.

  • Perform other related duties as required and assigned.

Minimum Qualifications: Required Education and Experience a€¢ Mastera€™s degree in Higher Education Administration, Human Resource Management, Business Administration, Public Administration, or closely related fields or disciplines a€¢ Four (4) years work experience in a college/university Housing/Residence Life department in a residential campus office environment and business experience and/or administrative experience in a higher education housing department, housing assignment/contract experience, personnel leadership and supervision, policy and strategic planning development and implementation experience.

Preferred Qualifications: Proficiency with Microsoft Office applications and reporting tools, spreadsheets, and publishing software to maximize business efficiency. Working knowledge and utilization of customized university computer programs and management reporting applications, or ability to readily learn. Strong interpersonal, management, organizational, and communication skills. High level of integrity, dependability, and exemplary interpersonal qualities marked by strong work ethic and a problem-solving, results orientation. Demonstrated ability to work effectively and positively interact with diverse university clientele (residents, parents, applicants, campus personnel, vendors and contractors, etc); promote staff cooperation and teamwork, and contribute to an efficient, supportive, and collaborative work environment.

Work Schedule: 8:30 am - 5:00 pm On call responsibilities
