Overview

The manager works closely with the department chair to execute policy and strategic direction for the operation of the department and participate in short and long-term planning for department operations and activities. While the chair establishes the academic and intellectual direction of the department, the manager provides support for the chair's vision. The manager is responsible for ensuring that the faculty, students, and staff in the department have the necessary assistance to carry out their academic, research, and administrative duties. The department manager reports directly to their department chair, with a secondary reporting relationship to the Assistant Provost for Academic Management.

The Department of French and Italian is home to 15 full-time faculty members, as well as 10 language lecturers and 30 graduate students. There are approximately 1000 undergraduates taking courses in the department each year. The department administers two study abroad programs: the Aix-en-Provence French Language Program and a similar program scheduled to begin in Pisa in 2019.

Responsibilities

The three most important aspects of the manager's responsibilities are financial management, staff supervision, and academic administration.

Budget and financial management: The manager develops the administrative budget for the department, in collaboration with the chair. The manager is responsible for careful and appropriate use/allocation of the administrative allowance, endowed funds, restricted funds, and grants. The department manager monitors spending and provides regular and timely analysis and projections of the available funds to the chair.

Staff supervision: The manager supervises the hiring, performance reviews, and merit increase process for the administrative staff. The department manager should be knowledgeable in University policies and familiar with visa regulations, federal work study requirements, and fair labor standards.

Academic administration: The manager supervises the administration of the teaching component of departmental activities, ensuring that the academic department meets all internal deadlines. These duties include the administration of the teaching budget; preparation of materials for appointments for faculty and visitors and for faculty salary review; administration of the budget for faculty leaves; and the administration of two study abroad programs.

Qualifications

  • Bachelor's degree.
  • 4-6 years in office management or related administrative position(s)
  • Experience in budget management and oversight of financial operations.
  • Experience in the supervision and monitoring of staff relations and staff development and delegation of supervisory responsibility.
  • Excellent oral and written communication skills.
  • Excellent organizational skills and ability to manage multiple priorities.
  • Ability to anticipate and initiate appropriate action in support of the Chair and department faculty.
  • Excellent interpersonal skills. Ability to collaborate effectively.
  • Skill with website content and adept at learning new software.
  • Knowledge of French or Italian would be an asset.
