PURPOSE:

Under the general supervision of the Director of Tutorial Services, the Academic Tutorial Support Coordinator I (ASC I) performs complex, independent, and responsible administrative support duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

  1. Front Desk Operations: Oversees front desk operations.  Serves as first point of contact for students, tutors, staff and faculty visiting the tutoring center.  Provides daily assistance to the student participants of the program by answering questions, scheduling appointments, directing to other campus resources as needed.  Maintains tutor appointment schedules in collaboration with Program Coordinator, notifies student participants of time, date, place and other related information, as required. Assists with the coordination and facilitation of student assistant training, work schedule and provides daily oversight.
  2. Program and Administrative Support: Works in collaboration with CLC Director, Program Coordinator and Subject Coordinators to plan and implement program changes. Provides primary office services and supports the Program Coordinator with campus facilities work orders (key, access, custodial and maintenance requests), IT work orders, space requests via 25Live, travel requisitions, and other work necessary to meet the ongoing operating needs of the office; organize and maintains files and records and helps assemble information from these and other sources in response to requests; prepares correspondence, provides direction to student assistants and tutors; assists the Director in preparing complex reports and documents. Assists the program in compiling and preparing all materials necessary for new tutor, all tutor and mid semester trainings. Attends all staff meeting and training. Provides budget support.
  3. Database Maintenance: Assists Program Coordinator with data entry for the student information systems, “Oracle/PeopleSoft” for student ID creations and section creations within the tutor management database. Researches student accounts to perform updates as necessary. Ongoing data clean up including schedule updates, appointments and student records within the tutor management database. Collaborates with the Program Coordinator to input and update tutor schedules.
  4. Event and Activity Coordination: Coordinates and assists with the logistics of a variety of special events and activities including preparing agendas, scheduling workshops/meetings, reserving rooms using 25 Live, notifying participants, coordinating campus resources, ordering supplies, making arrangements for equipment and catering and providing oversight of the event set-up and cleanup. Assists in the preparation of all CLC activities and public events; serves as CLC liaison with the community and public at large.
  5. Marketing: Develops brochures, surveys, flyers and other publications (Otter Be Involved, Student Housing/Residential Life monthly newsletter, etc. Manages CLC social media platforms. Collaborates with the Director, and Program Coordinator in creating content and makes routine updates to the website. Updates the Library digital signage.  

Other Functions:

Performs other job-related duties and special projects as assigned.

May be required to work after hours and weekends for special events and training.

KNOWLEDGE, SKILLS AND ABILITIES:

Experience to be fully functional in all technical aspects of work assignments.  Thorough knowledge of grammar, punctuation and spelling; and of office systems and a broad range of technology, systems and software packages.  Working knowledge of budget policies and procedures. 

Ability to: quickly acquire a thorough, detailed knowledge of applicable university infrastructure, policies, and procedures; make sound independent decisions and recommendations based on current policies and procedures and a thorough analysis of current situations; independently handle multiple work unit priorities and projects under strict deadlines; effectively handle a broad range of interpersonal contacts, including those at the highest level and those requiring strict confidentiality; apply a wide variety of policies and procedures where specific guidelines may not exist; calculate ratios and percentages, track financial data and make simple projections; draft and compose correspondence and standard reports.

MINIMUM QUALIFICATIONS:

Fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Knowledge of business mathematics beyond basic arithmetic.  The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

SPECIALIZED SKILLS REQUIRED:

Skill in: Excel, preparing PowerPoint presentations to include statistical information, providing exceptional customer service, and planning and executing events.  Working knowledge of desktop publishing software and social media applications.

PREFERRED QUALIFICATIONS:

  • Experience working directly with students, specifically in a tutoring, learning center or other academic  student support program environment
  • Demonstrated understanding of and commitment to CSUMB’s Vision.
  • Technical fluency with Microsoft Office Professional Suite, Oracle/PeopleSoft, CSU Common Management System or equivalent enterprise management system; and Google mail, drive and calendaring programs.

  • The person holding this position is considered a “mandated reporter” under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083  as a condition of employment.
  • This position will have a duty to report to the Campus Title IX Officer information pertaining to victims of sex discrimination, sexual harassment, sexual misconduct, dating/domestic violence, and stalking as required by CSU Executive Order 1095.

WORK ENVIRONMENT:

Office environment with standard equipment and tasks. Position requires working at a computer and desk for extended periods of time.
