About the Unit
General Internal Medicine (GIM) has a rich tradition at The University of Chicago, dating back to the founding of the medical school in 1927. With the rising prominence of the medical subspecialties after World War II, the Department of Medicine reaffirmed its commitment to GIM in 1969: 'Every trainee must receive intensive, comprehensive training in General Medicine as an optimal base for advanced training, whether in a subspecialty or General Internal Medicine.' Under the leadership of Dr. Alvin Tarlov (Chair of Medicine, 1968-81), The University of Chicago led a national effort to reestablish academic sections of General Internal Medicine. In 1973, the Section of General Internal Medicine was organized to include separate GIM inpatient, outpatient, and consultation services. The Section of General Internal Medicine assumed responsibility for housestaff training and for relationships with community hospitals. A fellowship program was established for trainees interested in academic GIM and educational leadership. With the support from our Department Chairs since 1968 ,GIM research has flourished at The University of Chicago, with faculty recognized as national leaders in the areas of medical ethics, health economics and policy, health services and outcomes research.

Job Summary:

Under limited supervision, the Project Assistant IV provides highly complex administrative support for the academic and administrative operations and services. Provides prompt and efficient resolution to complex administrative problems. Adapts workflow to accommodate needs, priorities, and fluctuation of work volumes according to faculty and departmental expectation. Handles a wide range of administrative support duties and functions for several faculty members.


  • Responsible for providing administrative support to several researchers and their project staff.
  • Manage and organize day-to-day administrative operations of research projects.
  • Maintain and up-keep records and files, schedule meetings and appointments, and make travel arrangements.
  • Assist with financial matters, including assisting in the continuous improvement of overall financial management, budget performance, and strategic planning of assigned research projects.
  • Process purchase requests and reimbursements.
  • Prepare manuscripts and presentations.
  • Assist department with research related paperwork such as IRB forms and submissions, preparing grant proposals, writing correspondence and other additional administrative needs.

This is an Academic Discretion position.

  • Proficiency with Microsoft Office suite required.
  • Ability to successfully handle multiple faculty and department related tasks within a specified time frame required.
  • Ability to proactively anticipate physician needs and resolve problems required.
  • High level of initiative, strong editing skills and superb organizational abilities required.
  • Ability to provide excellent customer service required.

  • Experience with Endnote, Adobe, and other business related applications preferred.
  • Ability to learn a range of position-related software applications required.
  • Ability to communicate effectively in English, both orally and in writing, required.
  • Ability to manage interpersonal relationships and interact/communicate with clarity, tact and courtesy with visitors, patients, staff, faculty, students and others.

Additional Requirements

Education and Experience:
  • High School Diploma or equivalent required.
  • Bachelor's degree preferred.
  • Three years of office experience required.
  • Four to five years of office experience in complex, fast-paced office environment preferred.
  • Hospital or academic medical center experience preferred.
