Job Summary:
Lead special event operational efforts for the university within the President's Suite at the Montagne Center, the eighth floor of the Mary and John Gray Library, the Reaud Building Executive Event Center and the Elvis Mason Room at the John Gray Center as well as other areas on campus on an as-needed basis. The director of event management will report directly to the director of marketing in the Office of Marketing Communications.

Duties and Responsibilities:

  • Oversee the special events associate and special events assistant positions.
  • Hire student employees as necessary to staff events as well as perform setup and breakdown tasks.
  • Assist with booking all events for the community or university division, including issuing contracts and collecting fees.
  • Provide client consultation up front and in person as possible to ensure goals and expectations of event are enacted during the logistical planning stages.
  • Work with the department or program on invitation needs, via print or digital.
  • Brand events that involve the university with appropriate setting, including decor, food, etc. to display Lamar University in the most positive light possible.
  • Hire vendors needed to make events proceed seamlessly.
  • Work with Director for Event and External Relations Oversight on process to handle information transparency on all events scheduled.
  • Coordinate all setup and breakdown for events as well as clean up with Facilities Management.
  • Be the first line of communication for the customer pertaining to food service needs, including arrangement of tastings and handling menu changes to the food service provider/caterer.
  • Personally attend or schedule special events associate or special events assistant to be present for all events scheduled during or outside of normal work hours.
  • Update and maintain Office of Event Management website and work with the Office of Web Communications on anything needed with Attend or Marketplace for various events.
  • Communicate all work order needs to Facilities Management.
  • Order security as needed through LUPD.
  • Keep track of inventory and equipment in good repair.
  • Work closely with the Office of Marketing Communications on print needs for event.
  • Provide bi-weekly schedule of booking to all departments deemed necessary to receive this information.
  • Perform daily interaction with other constituents on campus and in the community with a professional and pleasant demeanor.
  • Enter information as needed into the Millennium database.
  • Serve as the lead source of information on Attend software.

    Minimum Qualifications:
    Minimum Qualifications:
    -Bachelor’s degree.
    -5+ years of related job experience.
    -Direct oversite of all aspects of event management. Ability to manage multiple employees.
