(Job #18-18) Administrative Support Assistant II (ASA II), APS Assistant, $2,539-$4,120/month. Appointments are typically made at the beginning of the salary range. This is a full-time, benefited, 12-month position with a one-year probationary period in the Department of Human Resources and Academic Personnel Services (HR&APS).

Duties: Under general supervision, the ASA II provides administrative support for academic personnel functions while serving as a first point of contact for the HR&APS office. The main duties of this position include observance of regular work hours; front desk reception; responding to a broad range of general questions; directing calls, emails, and face-to-face inquiries appropriately to HR&APS staff; inputting data as required; and performing a variety of office support activities.

Minimum Qualifications: Completion of a high school program or its equivalent and some experience in an office environment that has provided the applicant with the knowledge, skills, and abilities listed below.

Knowledge, Skills, and Abilities:

  • General working knowledge of applicable university infrastructure, policies, and procedures
  • Thorough knowledge of office methods, procedures, and practices
  • Thorough knowledge of English grammar, punctuation, and spelling
  • Fluency in using standard office software packages: word processing and spreadsheet applications, specifically Microsoft Word and Excel


  • Work involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills, including the ability to work cooperatively and effectively in person and over the telephone with employees at various levels of an organization and with the general public
  • Demonstrated competence in effectively presenting standard information in writing
  • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions

    Ability to:

  • Provide friendly, helpful assistance while maintaining a professional demeanor, even during busy periods
  • Communicate effectively both orally and in writing
  • Establish and maintain working relationships with staff, students and faculty from diverse backgrounds.
  • Learn, interpret independently, and apply a variety of complex policies and procedures; able to identify deviations from applicable policies
  • Apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions
  • Effectively organize, prioritize and complete tasks independently in a fast-paced environment with frequent interruptions and conflicting deadlines
  • Perform standard arithmetic functions of a transactional nature, including tracking and comparing data
  • Use standard office equipment
  • Perform detailed work with accuracy
  • Accept direction from multiple sources
  • Make independent decisions and exercise sound judgment
  • Maintain a high degree of confidentiality and exercise discretion and appropriate judgment in handling sensitive material
  • Understand, interpret and apply policies and regulations in specific situations

    Preferred Qualifications:

  • Bachelor's degree
  • Two years of full-time general office experience
  • Experience performing confidential clerical tasks in a professional office
  • Experience performing efficient and accurate data entry
  • Experience with web design software
  • Intermediate or higher skills in the Microsoft Office Suite (with an emphasis in Excel and Word)
