Description of primary duties and responsibilities:

Primary Purpose of the Position:

The primary purpose of the position is to perform a variety of administrative, secretarial, and office support duties. The position requires knowledge of the office/work unit policies and procedures in order to communicate information involving programs, functions and services. Duties performed may include preparation of documents and reports, the use of office technology, compiling records, organizing and maintaining files; posting information, greeting/referring/assisting visitors /clients with information and resources, mail distribution, photocopying and other office duties and assignments. The completion of work often involves a public contact role to obtain, clarify, or provide information regarding activities of the work unit or program. Positions may serve as the primary staff assistant to a department or program manager.

Other duties may be assigned depending on the needs of the department.

Minimum Education and Experience Requirements:
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Knowledge skills and abilities:
This position requires extensive communication skills written and verbal, coordination of work, problem solving skills and knowledge of the departmental program and services.

Demonstrated abilities in the following areas:

Customer Service - Provide excellent customer services to internal and external constituents of the office. Demonstrate a pleasant and polite demeanor to all visitors, screen calls for the Director when necessary and displays professionalism at all times.

Verbal Communication - Responsible for responding to questions of inquiry from internal and external constituents. Responsible for coordinating appointments, meetings and responding to service recipients, vendors etc. Communicate routine and general information to staff, clients, and/or public about standard services, processes, and procedures using prescribed or established guidelines. Screen and direct clients /visitors to appropriate source.

Understand general operation of functional unit, to include knowledge of staff and program responsibilities. Apply knowledge necessary to provide answers to "frequently asked questions". Use general knowledge of program procedures, methods and practices to refer clients to resources.

Written Communication - Responsible for composing written documents with and without guidance. Responsible for accurately communicating program policies and procedures in writing and ensuring that all written communication and documentation is accurate. Gather readily available information from office records to draft e-mails, memos and other documents. Proofread documents for grammar, spelling, punctuation, and basic formatting. Provide answers to requests for general information in written format.

Coordination of Work - Acts in the capacity of support staff, supports activities of the office and the office staff. Responsible for ensuring that routine office matters are handled to include calendar coordination, room reservations, management of logistics and supplies etc. Use a variety of office equipment information systems (e.g. telephone, computer with standard software, fax, copier, etc.) to access, input, and verify standard information. Operate and perform tasks to maintain equipment with a general understanding of its capabilities.

Problem Solving - Responsible for using judgment and applying judgment to the resolution of routine and minimally complex problems. Responsible for reviewing policy and data to present to the supervisor to assist in the problem-solving process.

Knowledge of Program - Responsible for understanding the programs and services provided by the office as well as specific responsibilities of the other team members in order to adequately respond to questions/concerns to direct patrons appropriately. Significant knowledge of program is necessary for successful interaction with internal and external constituents.

Preferred Qualifications:
Bachelor's degree in related field with a minimum of four years of work with college students/or personnel.
