Oversee and manage assigned staff engaged in facilities/operations management and building/equipment maintenance, reporting to the Director of Facilities. Work, collaborate and engage with other Law School departments, and externally, to plan, solve and/ or assist with any facilities related items/initiatives as needed. Coordinate with both internal/external technicians for mechanical, electrical, plumbing repairs and troubleshooting. Manage small departmental projects and assist Director on larger projects. Manage department financials to include purchase card verifications, purchase order placement and purchase order authorizations. Manage current vendor contracts and negotiate future contracts.

  • Coordinate daily activities assigned to staff members, including: scheduling and assigning work to staff and directing and leading workers in completing assigned work; monitoring work and project activity progress, making necessary changes; and performing quality assurance checks.
  • Provide project management and coordination; overseeing and executing projects (limited to small, local Law School projects), including but not limited to their organization, scheduling, budgeting, and implementation.
  • Coordinate activities, construction, and renovation with Stanford staff, subcontractors, and/or vendors.
  • Coordinate space management and planning activities including: move coordination; space inventory; space allocation tracking; specifying set-ups; and maximizing space utilization.
  • Assign, track, and monitor facility security programs by managing key assignments and access levels, providing building access, monitoring access records, security cameras, and assessing and changing of access schedules.
  • Work and coordinate with other facilities and Law School staff on: coordination of event set-ups; signage and custodial needs.
  • Implement, interpret, and manage policies and procedures pertaining to operations and facilities management.
  • Manage service contracts as applicable. * - Other duties may also be assigned

    MINIMUM REQUIREMENTS: Education & Experience:

    A combination of education (at least 2 years preferred), training and experience performing responsibilities similar to those listed. Experience in an academic or law firm setting preferred.

    Knowledge, Skills and Abilities:

  • Verbal and written communication skills.
  • Ability to coordinate daily activities including work scheduling, quality assurance, program validation, monitoring of maintenance activities, and supervision of personnel.
  • Demonstrated experience working with subcontractors/vendors and demonstrated ability to monitor project activities and ensure compliance with internal/external regulations.
  • Working knowledge of applications such as Word, Excel, Oracle and Google Docs.
  • Demonstrated experience analyzing and interpreting policies.
  • Ability to follow written and verbal directions and communicate those instructions to others in a professional manner.
  • Ability to work within a fast pace environment with changes.
  • Ability to work nights and weekends on an as needed basis. PHYSICAL REQUIREMENTS*:

    • Frequently sitting, perform desk-based computer tasks, lift/carry/push/pull objects that weigh up to 10 pounds.
    • Occasionally stand/walk, twist/bend/stoop/squat, grasp lightly/fine manipulation, use a telephone, lift/carry/push/pull objects that weigh up to 11-20 pounds.
    • Rarely kneel/crawl, climb (ladders, scaffolds, or other), reach/work above shoulders, grasp forcefully, writing by hand, sort/file paperwork or parts, lift/carry/push/pull objects that weigh >40 pounds.

  • Requires 24-hour response availability seven days per week for emergency situations.
  • May be exposed to noise > 80dB TWA.
