The Office of Research and Project Adminisration currently has two openings for a Grants Manager.

The Grants Manager will assist faculty and research staff in several departments with proposal preparation and pre and post-award management for federal and non-federal sponsors. The Grants Manager will partner with university academic and non-academic departments and centers to provide timely, high quality, and coordinated research administrative services. The Grants Manager is an advocate for proactive, responsive, and effective research administrative processes, and will provide assistance to University faculty and research staff regarding institutional processes.

Reporting to the Office of Research and Project Administration, the Grants Manager will collaborate with relevant university offices, including staff in Office of Research and Project Administration, Sponsored Research Accounting, Procurement, Research Integrity and Assurance, Corporate Engagement and Foundation Relations, and the Office of the Dean for Research.


Pre-award Responsibilities

  • Prepare budgets for new proposals
  • Prepare documents for URB, IRB, IACUC, and Biosafety Committee approval
  • Prepare proposal submissions through Coeus; upload narrative files, budget, budget justification, and other required documents
  • Prepare proposal submissions to granting agencies through either electronic systems (, Fastlane) or directly to funding agency/foundation.

Post-award Responsibilities
    • Prepare monthly forecasts for Principal Investigators
    • Monitor spending and ensure that grant budgets are on track with original proposal
    • Prepare revised budgets and budget justifications for modified grant awards or to request funds for equipment or foreign travel
    • Prepare Prior Approval Requests as needed
    • Review and submit foreign travel vouchers to Finance and Treasury
    • Review and submit capital equipment purchases to Finance and Treasury
    • Enter salaries into Labor Accounting for staff supported on grants, and audit salary charges to grants
    • Ensure timely submission of salary and wage certifications
    • Track and monitor all cost-sharing commitments, including non-salary commitments
    • Prepare all cost transfer documentation for PI review and record retention
    • Prepare purchase orders/requisitions in PeopleSoft for equipment and supplies
    • Prepare allocation models as needed to split charges appropriate among sponsored projects
    • Prepare requests for no-cost extensions on grants
    • Review and verify final reports with Sponsored Research Accounting to close out projects
    • Serve as liaison between academic units and university research administration offices.
    • Work with Sponsored Research Accounting to respond to requests from Internal Audit or external auditors
    • Communicate university and sponsored research policies and regulations to department faculty and staff. Ensure departmental compliance to applicable laws, policies and procedures


Successful candidate must have analytical expertise with strong accounting/financial/grants management background and cost accounting standards. Knowledge of and direct experience in grant administration, preferably in an academic environment; experience using electronic proposal systems.

Additionally, the position requires: outstanding organizational skills, ability to work on multiple projects simultaneously, ability to deal diplomatically with people at all levels, a high degree of personal integrity and discretion, solid decision-making skills, judgment and flexibility. Excellent oral and written communication skills and a high level of competency with system applications are necessary.

Ability to work effectively, prioritize and be flexible in a high-paced, high- volume professional environment. Ability to analyze complex situations, identify workable solutions/alternatives and effectively balance customer service with regulatory compliance.

Education Requirement:
  • Bachelor's degree or equivalent experience
