Manage a portfolio of departmental funds, complex grants, and contracts for the Department of Neurobiology. Perform financial, pre-award, and post-award activities; prepare budgets; and provide financial projections to faculty.
  • Manage awards from federal, state, governmental, and private agencies/foundations, including budgeting, reporting, and compliance timelines through the lifecycle of the grant or contract. Manage internal awards and funds within faculty portfolios.
  • Assist faculty in preparing and submitting grant applications, including using appropriate forms, developing a budget and justification, gathering biosketches and other support, checking the overhead rate, and submitting via SPS, ERA commons, grants.gov, and other tools as appropriate. Ensure consistency, accuracy, completeness, and compliance with sponsor and university guidelines and deadlines.
  • Assist faculty in processing "just-in-time" information, progress reports, and final reports to sponsoring agencies. Interpret information received from funding agencies, and distribute as appropriate. Prepare and submit re-budgets, no cost extensions, CAS requests and reports, and changes in effort. Ensure correct salary distribution for faculty and their staff.
  • Provide fiscal management for PI's: project spending on codes; compile monthly financial and projection reports by PI; meet monthly with PI's to discuss funding, projections, and recommendations; identify the need for cost transfers; make financial recommendations; and inform PI of corrections/adjustments.
  • Review and approve at the departmental level: Buy@Duke carts over the department threshold, AP check requests, travel expenses, corporate card transactions, JV's, and other financial documents. Review all transactions for accuracy, completeness, and adherence to Duke, federal, and/or funding source guidelines.
  • Ensure compliance with Duke's financial guidelines. Check reconciliation from PI's or appropriate personnel; run and analyze required FAM reports each month; ensure proper recording of revenue; create ODAR reports monthly; and follow up to resolve overdrafts. Maintain and disseminate current information on new WBSE's, indirect cost rates, and fringe benefit rates.
  • Close out all funded projects in a manner consistent with university process and timelines. Reconcile and close all sub-recipient expenditures and agreements. Remove payroll, prepare the sponsored project closeout task list, resolve any final close out issues, and move standing orders to other grants.
  • Interface with Duke's Office of Sponsored Programs and Office of Research Administration to ensure timely and accurate grant submissions, accounting and reporting, sub-agreements, and closeouts for Neurobiology grants. Attend grant manager and other relevant meetings. Maintain RAA certification by attending the required trainings and meetings.
  • Perform other related duties incidental to the work described herein.

Education

Work requires communications, analytical and organizational skills generally acquired through completion of a bachelor's degree program.Research or grants education and/or certification is preferred.Successful completion of Financial Services Introduction to R3, Introduction to Duke GL, Introduction to Accounting, Sponsored Research Reporting, Research Administration at Duke (on-line), Basic Compliance(on-line) within first six months of hire is required.Successful completion of the Research Administration Academy (RAA) is required. Employees hired into this classification without RAA training will work closely with their manager to schedule and complete the training within 12 months of start date. The expectation is that the staff member will maintain the requirements for their level. Failing to meet these requirements will be addressed through the performance review process. Upon successful completion of expected training, the employee must maintain certification(s) by completing continuing education requirements.
