Responsible for managing administrative, fiscal, compliance and operational activities for the Division of Research and the Office of Research Administration at the College of Medicine (COM).
Responsible for managing administrative, fiscal, compliance and operational activities for the Division’s Office of Research Administration (Med-RA) and key Division programs/events. Oversees the coordination of activities, events and staff in support of program initiatives and strategic initiatives to include long-range planning and problem solving. Manages Division and Med-RA office activities, and implements changes to promote effective and efficient operations. Serves as subject matter expert maintaining awareness of the scope of all contract, grant and division initiatives. Identifies, creates, implements and maintains appropriate tools and resources to track Contract & Grant (C&G) activity and faculty AOR's, and to meet annual and ad hoc reporting needs for the Division. Serves on committees and makes recommendations to management for strategic planning, grants approval/acceptance, program planning and development, and evaluation of the Med-RA unit. Management of the maintenance of contract and grant data for the program and program committees. Prepares and presents monthly, annual and ad hoc reports to the Assistant Director, Assistant Dean for Research Activities and the Senior Associate Dean for Research.
Manages the College’s Research Advisory Committee (RAC) human subjects review process for faculty and student researchers, including resolving submission problems and advising the RAC Chair/Associate Dean for Clinical Research on pending submissions. Responsible for implementation of research related policies and related training for faculty, students, and staff.
Responsible for the Division’s Summer Research Fellowship, Research Fair and Internal Grants Program, including serving as point of contact for faculty submissions, preparing communications and grant information for distribution, ensuring appropriate management of proposal applications and fiscal data, and facilitating review, award, and close-out. Serves as COM point of contact for managing collaborative grant programs with non-COM departments desiring to involve COM researchers.
Organizes the College’s Grand Rounds special events program and develops/manages its annual budget. Manages annual schedule, speaker engagement, program marketing and event planning. Provides oversight of travel arrangements and reimbursements, honoraria, and facility logistics.
Responsible for the development and implementation of Med-RA and Division policies and procedures and stays apprised of changes in University and COM policies and procedures. Assists the Assistant Director and Assistant Dean for Research Activities with the budgeting process to include compiling annual budget requests to COM administration. Oversees development and implementation of Division communications and public relations policies and procedures to include website, social media outlets, newsletters, etc. Provides back-up oversight for departmental time and leave processing, etc. Responsible for back-up oversight of departmental purchases, requisitions, travel requests and reimbursements, etc. assuring accuracy of purchasing and travel documentation prior to final approval by the Assistant Dean. Serves as proxy to Division purchasing card holder.
Responsible for supervision of OPS office administrative support staff. Coordinates duties for OPS support staff with the Assistant Director and Assistant Dean for Research Activities. Promotes an atmosphere of teamwork in accomplishing the mission and goals of the Division to include participating in the delivery of administrative and academic services for special projects, events and conferences, or in meeting key Med-RA and Division deadlines.
Bachelor's degree and four years of experience. (Note: higher education can substitute for experience at the equivalent rate.)
Experience gathering, interpreting, reporting, and/or editing information.
Experience accurately performing multiple assignments simultaneously.
Experience meeting deadlines.
Experience preparing and monitoring budget information.
Experience compiling, reviewing, and reconciling data for accuracy, completeness and compliance.
Experience with Microsoft Office products, such as Word, Excel, and Outlook and/or comparable software.
Experience with the coordination, organization, and evaluation of events and/or meetings.
Experience preparing clear and concise reports, policies, procedures, correspondence, and/or other written materials.
Experience effectively training and directing the work of others.
Experience developing and implementing policies, procedures, goals and objectives.
Anticipated Salary Range
Anticipated hiring from $47,658 to mid $50,000’s.
This is an A&P (Administrative and Professional) position.
