The Office of Technology Licensing at Stanford University is seeking a Licensing Liaison to provide administrative support working under general supervision. This position will be responsible for assisting up to two Licensing Associates with the administration of patent related licensing activities in support of Stanford's intellectual property and inventions.

The Office of Technology Licensing (OTL) was established in 1970 to manage the intellectual property assets of Stanford University. OTL evaluates, markets, and licenses technology owned by the University. OTL's mission is to encourage effective technology transfer for the public benefit as well as generating royalty income for Stanford to benefit research and education. OTL is one of the country's most active offices in the field of technology transfer from the university to industry. Our staff, most of whom are professionals engaged directly in licensing, and manage over 3,000 active dockets.

CORE DUTIES*
  • Coordinate and monitor patent filings and prosecution and associated timelines, including docketing patent correspondence and due dates, coordination of inventor signatures on documents and licensee input.
  • Prepare basic agreements (royalty sharing agreements, confidentiality agreements, amendments and termination documents) utilizing defined criteria.
  • Perform and coordinate analysis of marketing of inventions including potential licensees through market research utilizing electronic databases, social media, internet and telephone.
  • Prepare non-confidential abstracts based on invention disclosures, technical publications and input from inventors.
  • Establish and maintain electronic and paper files, track evaluation, patenting, marketing and management functions for inventions.
  • Prepare financial and status reports, complete other tasks for managing portfolio as assigned.
  • Collaborate with compliance manager to ensure government and industry sponsor compliance information is complete, complies with diligence provisions and financial terms of agreements.
  • Execute data entry, reporting, and monitoring related activities.
  • Schedule meetings with inventors; prepare correspondence related to inventor and licensee queries, assist with administrative and clerical support of associates.
* - Other duties may also be assigned Minimum Requirements:
Education and Experience
  • High school diploma and three years of administrative experience, or combination of education and relevant experience. Relevant experience may include prior patent or legal assistant experience. Familiarity with patent process and software applications desired.
Knowledge, Skills and Abilities
  • Excellent oral and written communication skills.
  • Strong attention to detail.
  • Proven ability to manage a multitude of priorities in a fast-paced environment.
  • Ability to take initiative, prioritize workload, follow up and work independently.
  • Demonstrated ability with databases, word processing and spreadsheet software.
Physical Requirements*:
  • Frequently sit, use a computer; use a telephone, grasp lightly/fine manipulation.
  • Occasionally stand/walk, reach/work above shoulders, grasp forcefully, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.
