Job description

Duties: This position is responsible for the leadership, planning and management of administrative functions for the Executive Director, Business Services, and Residential & Hospitality Services (RHS) reporting units, including budget, finance & administrative services. The incumbent reports to the Executive Director and is a member of the RHS senior leadership team. This position will supervise direct report and indirectly, any assigned student staff and will work closely with department directors, managers and staff as part of the RHS management team and with Business Services Division (BSD) to ensure best practices in cross unit initiatives and achievement of RHS goals, including financial and service excellence across RHS. The incumbent will lead implementation of designated divisional initiatives for RHS, including operations, internal communications, and customer service, driving implementation across RHS & ensuring consistency while providing for appropriate customization. In collaboration with the RHS leadership team, this position will establish RHS goals & develop metrics, survey & data gathering, benchmarking & analysis; & will manage RHS reporting. The incumbent will oversee & quality assure communications in consultation with divisional communications team, & represent the Exec Dir & RHS departments in collaborative opportunities across campus & externally. The successful applicant will build & manage working relationships/partnerships, including consultation with multiple constituent advisory groups.

Residential & Hospitality Services (RHS) operates 7 days per week, 24 hours per day, including all University recognized holidays. Accordingly, this position may be required to work occasionally on the weekends or in the evening in support of key RHS activities (eg. move in/out).

Qualifications: A Bachelor's Degree and 7 years to 10 years of experience or equivalent combination of education and experience is required. Master's degree in Higher Ed or equivalent preferred. Demonstrated excellent communication skills both oral & written, including the ability to collaborate effectively with a diverse constituent group required. Ability to successfully manage highly complex projects & new initiatives not previously performed at the University of Pennsylvania required. Experience working independently while engaging resources across multiple work functions to help achieve goals required. Ability to multi-task and function in situations with changing priorities required.
Prior supervisory experience required. Experience with a content management software i.e. Joomla, email marketing software i.e. Constant Contact, Social Media platforms, i.e. Facebook, Snapchat, and Instagram preferred. Basic HTML experience preferred. Familiarity with service provision in a University environment is desired. Requires availability & willingness to work occasionally on the weekends or in the evening in support of key RHS activities.
