Description of primary duties and responsibilities:
Primary Purpose of the Organizational Unit

The Fayetteville State University (FSU) Ticket Office and Event Management Center falls under the organizational structure of Business Services within the Business and Finance Division. The Ticket Office is the primary administrative focus for the implementation and operation of the University's Consolidated Ticketed and Non-Ticketed Event Program. The University's Ticket Office was designed to serve as the central control system for the planning, coordinating, and supervision of various ticketed and non-ticketed events for the University. As a minimum, this includes all Alumni, Athletic, Drama, Lyceum, and Student Affairs events held on the University Campus.

Event Management Center, housed in the J.W. Seabrook Auditorium lobby, was established to centralize all online campus event requests under one highly visible system, by use of a web base calendar scheduling software program called Ad Astra. Ad Astra is a web based interactive scheduling software program that uses resource information pertaining to Fayetteville State University's facilities, venues, and classroom space to help departments, schools, and programs efficiently manage campus activities, i.e., meetings, conferences, seminars, performances, etc., and eliminate double-booking of campus events.

Primary Purpose of the Position

The Ticket Office Assistant position is responsible for assisting the Ticket Manager in the performance of the day-to-day routine activities responsible for the successful operation of the University Ticket Office. Work in this class involves the assistance in the managing, planning, coordinating and supervision of the continuous disbursement and distribution of a large volume of tickets for all events sponsored, or participated on the campus of Fayetteville State University.

The Ticket Office Assistant assists the Ticket Manager in the conferring with various entities concerning the number and categories of tickets to be printed; answers inquiries concerning the allocation and availability of tickets and seat assignments; maintaining records on all ticket transactions; planning, assigning and supervising lower level personnel in the day-to-day operations and event management. Work is reviewed through analysis of written reports and financial statements by the Ticket Manager and presented to the Director of Business Services. Work is also subject to review by the University's Internal Auditor and outside personnel from the Office of the State Auditor.

The Ticket Office Assistant accepts full accountability for the operation of the Ticket Office and the conducting of ticketed events in the absence of the Ticket Manager. In addition, the Ticket Office operates with a temporary staff and the incumbent is accountable for the coordinating and scheduling of staff, based on the size and format of the scheduled event.

Minimum Education and Experience Requirements:
High school diploma or equivalency.

Knowledge skills and abilities:
Some knowledge of the organization, operations and objectives of the University and the various organizational groups and activities; considerable knowledge of the policies and procedures used in the allocation of tickets; knowledge of bookkeeping systems pertaining to cash receipts, deposits, accounts payable, and the financial reports required by the University, knowledge of building Excel spreadsheets; ability to communicate effectively, deal tactfully and cordially with all types of individuals in both oral and written form, and to maintain effective working relationships; ability to plan work and supervise a large number of subordinate personnel in a fast paced environment in an effective manner.

Some knowledge of the technical aspects of functions and capabilities of computers and related peripheral equipment and information technology; knowledge of electronic ticketing programs, i.e. TicketMaster,, etc; knowledge of the principles and methods used in obtaining maximum utilization of computing equipment; ability to exercise good judgment and discretion in establishing, applying and interpreting a wide range of administrative policies and procedures; ability to communicate effectively in oral and written form and to establish and maintain effective working relationships.

Preferred Qualifications:
Graduation from high school and demonstrated possession of knowledge, skills and abilities gained through at least three (3) years of office assistant/office administration; or completion of a two-year office administration or business administration program with one (1) year of responsible experience as described above; or an equivalent combination of training and experience.

Previous experience in the operation of Ticket Office in a University and/or public setting with operation of an electronic ticketing program.
