CLERICAL ASSISTANT III - 	STUDENT AFFAIRS
RESPONSIBILITIES: Under the direction of the Vice President for Student Affairs, provides specialized clerical and technical support for the Administrative Assistant in the Office of Student Affairs; maintains the weekly calendar for the Vice President for Student Affairs; performs clerical and administrative duties which require independent action while following established guidelines and procedures; maintains accurate records which include absence reports, attendance records, budget, travel, and other specific areas as assigned; acts as initial telephone and personal contact for the Office of Student Affairs for the general public, students, college staff and other college officials; obtains information and performs basic research projects using on-line applications.
REPRESENTATIVE DUTIES: Prepare a wide variety of office communications including letters, memoranda, simple reports, electronic mail, meeting notes, flyers and bulletins; use integrated office software for distribution of various office communication; answer telephone in a pleasant manner; route messages to appropriate persons, offices and areas; handle difficult phone calls from the public, students, staff and college officials; prepare daily, weekly and monthly schedules for Vice President for Student Affairs; schedule and confirm weekly appointments, monthly group meetings and special events with staff, division managers and the Superintendent/President's Office; set up appropriate meeting rooms and hospitality requirements with appropriate follow through; revise schedule as needed; communicate revisions to appropriate parties; maintain travel, attendance and absence records for Student Affairs Managers, Office of Student Affairs staff and the Vice President for Student Affairs; monitor all Student Affairs budgets through use of college network computer program; ability to perform basic Internet research projects; download information from online sources and present the information to administrators and staff; maintain all office supplies, machines and equipment; order supplies as needed; select, train and provide work direction to student workers; maintain, update and revise college-wide and division policies and procedures and communicate updates and revisions to appropriate staff; maintain reference and research materials.
EDUCATION AND EXPERIENCE: Any combination equivalent to: graduate from high school including course work in office procedures and equipment, and two years of clerical experience in a related college office or program involving operation of a computer terminal.
SALARY & BENEFITS:
Range 13, Steps 1-6, $3,207.00-$3,902.00. Initial placement for external applicants is Step 1. An excellent benefits package which includes medical, vision, dental, retirement, vacation, generous sick leave package, and life insurance is available for the employee and eligible dependents.
WORKING DAYS & HOURS:
Monday-Friday: 8:00 a.m. - 5:00 p.m. (Approximately). Work schedule may be adjusted to meet the needs of the department.
