Stanford University School of Medicine - Department of Pediatrics is currently seeking an Administrative Associate 2 to provide administrative support in the Office of the Chair.
Schedule regular complex meetings in the Office of the Chair and for the DFA/Associate Chair/Director of Research
Serve as the point person for the scheduling and maintenance of the Pediatrics Conference Rooms.
Serve as the point person for the maintenance of the Copy Room and Xerox machine and order office supplies
Under the guidance of the Director of Research, review and edit letters of support for grants as well as review PI Waivers
Plan and schedule calendar(s) based on consultation with Office Manager/Executive Assistant, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
Process and monitor routine financial transactions, which may include researching and resolving discrepancies.

Bachelor's degree and two (2) years of Stanford University administrative experience desired.
EDUCATION & EXPERIENCE (REQUIRED):
High school diploma and four years of administrative experience, or combination of education and relevant experience.
KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
Ability to work independently and on a team, manage time efficiently, handle and prioritize multiple tasks, and meet timelines
Proficient computer skills and demonstrated experience with office software and email applications, especially Stanford Oracle Financial system
Demonstrated success in following through and completing routine tasks.
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Excellent customer service and interpersonal skills.
Ability to routinely and independently exercise sound judgment in making decisions
Creates and maintains professional, helpful, and positive work relationships
Must be able to maintain a calm and confident demeanor under pressure
Must be reliable, trustworthy, efficient, and able to take initiative when necessary
Must enjoy planning events
Interested in the work of the department of Pediatrics is strongly desired.
CERTIFICATIONS & LICENSES:
Constantly perform desk-based computer tasks.
Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
Rarely twist/bend/stoop/squat, kneel/crawl.
