Stanford University School of Medicine - Department of Pediatrics is currently seeking an Administrative Associate 2 to provide administrative support in the Office of the Chair.

Duties include:

  • Provide administrative support in the Office of the Chair
  • Schedule regular complex meetings in the Office of the Chair and for the DFA/Associate Chair/Director of Research
  • Serve as the point person for the scheduling and maintenance of the Pediatrics Conference Rooms.
  • Serve as the point person for the maintenance of the Copy Room and Xerox machine and order office supplies
  • Under the guidance of the Director of Research, review and edit letters of support for grants as well as review PI Waivers
  • Plan and schedule calendar(s) based on consultation with Office Manager/Executive Assistant, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Process and monitor routine financial transactions, which may include researching and resolving discrepancies.

    * - Other duties may also be assigned

  • Bachelor's degree and two (2) years of Stanford University administrative experience desired.


  • High school diploma and four years of administrative experience, or combination of education and relevant experience.

  • Ability to work independently and on a team, manage time efficiently, handle and prioritize multiple tasks, and meet timelines
  • Proficient computer skills and demonstrated experience with office software and email applications, especially Stanford Oracle Financial system
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to routinely and independently exercise sound judgment in making decisions
  • Creates and maintains professional, helpful, and positive work relationships
  • Must be able to maintain a calm and confident demeanor under pressure
  • Must be reliable, trustworthy, efficient, and able to take initiative when necessary
  • Must enjoy planning events
  • Interested in the work of the department of Pediatrics is strongly desired.




  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.
