Definition

The Part-time, Hourly Clerical staff will provide administrative support to the Program Coordinator in maintaining the overall operation of the P.R.E.S.S. Program.

This program provides academic support services to student-athletes through supervised study hall, individualized tutoring, monthly skills-based workshops, and academic counseling.

 

PRIMARY DUTIES AND RESPONSIBILITIES

Supervise pre-arranged hours of study hall per week.

Provide basic support and direct help to student-athletes during study hall hours.

Ensure that student-athletes adhere to expectations and check-in requirements of the program.

Assist student-athletes in securing necessary academic support (tutors, academic counseling appointments, etc.).

Greet visitors, staff or students in person or over the telephone and/or email to ascertain the nature of business and provide standard information related to their inquiry.

Maintain records and files of documents processed for available access to staff and administrators upon request.

Maintain confidentiality related to student records and any additional information processed or received during the course of performing assigned duties.

Attend planning meetings with Program Coordinator.

Support program growth by distributing information to coaches, prospective athletes, parents, and other constituents.

Performs other related duties as assigned that support the objective of this temporary, part-time position.

This is not the responsibility of a PT Temporary Hourly

 

Qualifications

Minimum Qualifications:

Knowledge:

Practices and techniques of the assigned program, department or division.

Office practices, procedures, and equipment, including filing systems, receptionist and telephone techniques, letter and report writing.

Personal computer based software programs that support this level of work including MS Office (Word, Excel, PowerPoint, and Outlook).

Business mathematics to compute sums and statistics.

English language, grammar, spelling, punctuation, proofreading, editing, to prepare original correspondence.

Human relations skills to convey information to others and use patience in dealing with a diverse population.

 

Ability to:

Relate to student-athletes, coaches, administrators, faculty and parents.

Efficiently operate a personal computer and associated software.

Communicate effectively and appropriately.

Learn and apply District and campus rules, regulations, policies and procedures to the business of the program and/or department/division.

Interact in an effective and appropriate manner with diverse populations, the College community and the public.

Detect ad correct grammatical and spelling errors in written correspondence.

Maintain files accurately, in paper and in software programs.

Operate standard office machines and equipment.

Maintain records and prepare reports.

Work on multiple tasks simultaneously.

Maintain confidentiality of private and sensitive information.

Ability to demonstrate effective athletic personnel and programmatic administration, leadership and supervisory skills and strategies.

 

Education and Experience:

One to two years' experience providing administrative support to a program or department.

Associate's degree in a related field and some experience in the program of assignment;

OR, any combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.
