The Office of Diversity and Inclusion has an opening for a full-time University Staff (unclassified) Executive Assistant position.

Position Emphasis:

The Executive Assistant is responsible for managing the Office of Diversity and Inclusion (ODI) and serving as the initial point of contact. This role operates within an extremely busy and high profile office, interacting with a wide range of internal and external stakeholders to ensure a consistently positive impression of the University's commitment to diversity, equity, and inclusion. The Executive Assistant will use diplomacy and public relations skills to engage in a variety of duties, including (but not limited to) the following: Provide a professional interface between the Vice Chancellor (VC) for Diversity and Inclusion and key internal and external contacts. Serve as a liaison between the unit and offices under the supervision of the Office of Diversity and Inclusion, other units on campus, CU system offices, and sister institutions. Assess the proper process and/or person to direct questions, problems, and issues for an efficient resolution. Respond flexibly to changing demands, devising and implementing creative solutions to challenges. Manage the VC's calendar, ensuring that engagements are appropriately and sensitively prioritized and managed. Schedule meetings and screen phone calls for the VC. Determine the appropriateness of meeting requests, length and locations of meetings, and suggested meeting invitees. Oversee the administrative functions of the VC's Office, ensuring that the appropriate processes and systems are in place, including managing the budget for the ODI and some related areas. Manage general office administration and operations including: inventory, ordering supplies, etc. Handle/maintain/develop routine correspondence and materials, sensitive and confidential employee information, and employee personnel files. Apply knowledge of university and state regulations for records retention. Examine all forms and forward to the proper person in the office for review and processing. Develop and maintain databases and timekeeping records for all employees who report to the VC according to state and university policy, including managing data in the current HR database and software. Apply state and university leave and overtime policies and regulations. Supervise student employees. Conduct online research and maintain information files related to current issues in diversity and inclusion in higher education. Undertake special projects for the VC.

PLEASE NOTE: Candidates will be responsible for travel expenses related to the interview process and any relocation expenses, if applicable.

Salary and Benefits:

The hiring range for this position has been established at $49,000 to $60,000 and is commensurate with skills and experience. This position is eligible for overtime compensation

Minimum Qualifications:

  • A bachelor's degree in business, business administration, finance, accounting , education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution
    • Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.
  • Five (5) years of professional level experience in a comparable position or positions.
  • Five (5) years administrative support experience.

Preferred Qualifications:

  • 2 years of experience with HR/Finance systems (e.g., COGNOS, HCM, and PeopleSoft).
  • 3 years of experience in higher education


  • Excellent oral and written communication skills.
  • Proficiency with word processing, spreadsheet, and scheduling software.
  • Demonstrated commitment to cultivating inclusive workplace environments and to valuing diversity.
  • Ability to establish and maintain effective working relationships with a wide variety of individuals and groups within the university and externally.
  • Outstanding customer service skills.
  • Ability to manage budgets and develop financial reports.
  • Ability to prioritize tasks and make decisions under pressure.
