RESEARCH ADMIN COORD
Duties: The ALACRITY Center at the University of Pennsylvania seeks a full-time Research Administrative Coordinator to provide high-level support to the Multiple Principal Investigators (MPIs) and will report directly to the Senior Research Coordinator with functional supervision provided by the Center Manager and the MPIs. The primary responsibilities include: (a) coordinate center events including an annual retreat, executive and steering committee meetings, advisory panels, training seminars, administrative meetings, and other meetings as required. Coordinating duties involve scheduling, ordering food, securing space, tracking attendance, communicating with invited attendees, preparing materials, facilitating travel arrangements, processing travel and expense reimbursements, taking meeting minutes, and other activities to support the events; (b) support the preparation and dissemination of content related to center activities via a variety of communication methods, including website updates, center reports, emails to listservs, and presentations for both internal and external audiences; (c) coordinate activities related to the annual distribution of pilot funds, which includes the support of preparing the request for applications, assigning and distributing necessary materials to grant reviewers, communicating decisions to applicants, and ensuring the timely distribution of pilot funding; and (d) provide administrative coordination and support to MPIs, faculty, and staff as needed. This position requires a high level of independence, working with minimal day-to-day supervision in a complex academic medical environment.
Qualifications: The minimum of a H.S. Diploma or GED and at least 5 years of experience, or an equivalent combination of education and experience, are required. Must be able to work independently, maintain confidential information, multi-task and possess excellent written and verbal skills. Effective problem solving abilities and detail oriented. Proficient in MS Office Applications (Word, Excel). Outstanding organizational skills are essential. Strong attention to detail; the ability to manage multiple responsibilities including daily tasks and planning for longer-term projects; strong communication and interpersonal skills; and the ability to work both autonomously and within a team are all essential for this position. Individual must be comfortable communicating with diverse audiences.
