Position Overview

Provide secretarial and administrative support for one or several department professionals or offices. Responsible for the functioning of an office or department. Initiates and handles correspondence relating to a department or program. Performs a variety of sorting and filing tasks; answers the phone, takes messages, and disseminates information; opens, sorts, distributes, collects, and delivers mail; performs a number of tasks such as posting and recording data. Produce documents of various levels of complexity, ranging from plain copy typing to the manipulation of data to create presentations. May make contacts of a sensitive, complex, and confidential nature. Responsible for providing various services to customers such as assisting customers in securing needed information and documents. May be responsible for departmental budget; managing calendars and appointments; event and meeting planning.

Department Specific Essential Job Functions

Monitors changes in students' enrollment schedule and notifies VA accordingly.

Establishes and maintains accurate and up-to-date information in VA student files.

Assists students with inquiries and problems concerning their VA educational benefits.

Assists and advocates for veteran and military dependent students regarding inquiries and challenges at the University.

Provide enrollment certification information to Financial Aid Scholarship Coordinator for accounting of GI Bill tuition and fee payments to students' accounts.

Reconcile and troubleshoot actual VA tuition and fee payments and financial records of students' accounts.

Verifies annual VA reporting fee for accuracy.

Keeps abreast of Federal Rules and Regulations as they pertain to VA Education Benefits and ensures compliance by UCO.

Trains, supervises and processes timesheets for VA student and part-time employees. Ensures work performed is within guidelines of Federal Rules and Regulations.

Performs other duties as assigned.

Qualifications/Experience Required

Requires general education or vocational training or equivalent combination of education and experience. General understanding and use of office equipment.

Qualifications/Experience Preferred

Experience with certification procedures of Department of Veterans Affairs Education Benefits. Familiarity with Department of Veterans Affairs Education programs and benefits. Banner experience/ proficiency . Demonstrated commitment to support veteran students and their success and well-being.

Knowledge/Skills/Abilities

Ability to communicate clearly and interpret regulations for development of policies and procedures to insure compliance with federal regulations. Excellent public relations skills. Superior oral and written communication skills along with organizational skills. Familiarity with computer software programs. Ability to multi-task and attention to detail. Demonstrate a warm and caring professional service-oriented attitude. Ability to maintain confidentiality. Ability to work well in hectic and stressful situations. Ability to listen and synthesize directives. Good records management skills. Ability to learn On-line Record System - VA electronic certification program. Ability to rapidly acquire a general knowledge of the overall operation and functions, and activities of the University Veterans Affairs Office.

Physical Demands
