Clark University’s Strassler Center for Holocaust and Genocide Studies seeks to fill the position of Administrative Assistant. Reporting to the Program Manager, the successful candidate will a variety of administrative and clerical tasks. Primary responsibilities of the Administrative Assistant include providing support to the Center’s Faculty, Students and Staff, assisting in daily office needs and managing the Center’s general administrative activities. The Administrative Assistant should also ensure the efficient and smooth day-to-day operation of the Center. This position is the first point of contact for students, faculty, and visitors to the Strassler Center and requires a friendly professional demeanor and the ability to interact with visitors and all members of the Clark community. Duties and Responsibilities Included in a range of responsibilities, the Administrative Assistant will Respond or redirect requests and inquires of the center via telephone, email or fax. Assist with course book orders; manage class emails, travel plans and speaking engagements - tracking expenses and processing reimbursements and assist with the arrangements and reconciliation of travel, catering, media services and physical plan requests for events. Hire and manage the student workers, Schedule staff, steering, and governance meetings as needed. Schedule meetings with current Graduate students, maintain student files and process TT evaluations. Reserve rooms and manage calendar for Rose Library and Kent Seminar Room. Communicate with Facilities Management regarding general house upkeep. Maintain photocopier, order copier and office supplies and coordinate with ITS and Xerox any computer / copier problems. Manage staff, faculty, and student mailboxes. Contact person for all HGS concentrators; manage Acalog, update lists, and assist Budget Coordinator with summer stipends, as well as other duties as assigned. Qualifications The successful candidate will have a High School Diploma and 1-3 years of experience. Capacity to maintain composure in a fat paced environment and ability to multitask and willing to take initiative. Capacity to maintain composure in a fast paced environment and the ability to multitask. Exceptional organizational skills and planning skills with a propensity for effective time management. Ability to process payment transactions (e.g., cash, check) and remit to Cashier’s Office and prioritize daily tasks and to manage special projects. Demonstrated ability to work independently, collaboratively, and across teams with a focus on service and prior experience working with and contributing to a diverse workplace with the ability to interact with a broad range of constituents on campus Technical qualifications include Basic knowledge/understanding of general accounting principles and proficient in Microsoft Office Suite This is a full-time, 35 hours per week, 12 month position with excellent benefits, which include employee and family tuition benefits, 4 weeks’ vacation, generous retirement plan, free use of campus fitness center and many more.
