This is a full-time (1.0 time-base), benefits eligible, temporary position anticipated to end on or before 06/30/2019, with the possibility of reappointment and/or permanency. This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
Under the supervision of the Executive Assistant to the Vice President for Student Affairs, the Administrative Support Assistant serves as the first point of contact for the office, and is primarily responsible for providing varying levels of general office, clerical, and secretarial support for the Office of the Vice President for Student Affairs. The full range of work activities includes but is not limited to greeting guests, answering phones, processing mail, maintaining files and records, scheduling and arranging appointments and conference room reservations, and processing of documents and records. This position also provides administrative support to the Vice President for Student Affairs, as well as the Associate Vice Presidents for Student Affairs.
The Administrative Support Assistant II must have the ability to work with minimal direction and have the flexibility to work under changing conditions. Ability to maintain confidentiality of information is essential.
The responsibilities/duties for this postion are as followed:
- Serve as the initial “go-to” person for questions arising in reception. Answer telephones, greet guests, provide general campus information to students, send faxes, photocopies, and ensure the office remains stocked with general office supplies. Provide administrative support, involving highly sensitive information, to the Vice President for Student Affairs and Associate Vice Presidents for Student Affairs. Under the general direction of the Executive Assistant to the Vice President for Student Affairs, provide work direction and guidance to student workers. Screen and route in-coming correspondence. Maintain records and files for the office suite. Assist with letters, memos and correspondence, ensuring that deadlines are met. Alerts the Executive Assistant to the VP and the Administrative Support Coordinator to items requiring immediate attention. Responsible for initial intake of public, parent and student concerns and/or grievances of a complex nature. Researches, collects and evaluates information regarding those concerns and determines appropriate action according to established policies and procedures. Refers sensitive situations to the Executive Assistant to the Vice President for Student Affairs, when appropriate. Interpret and apply established policies and procedures to determine the appropriate course of action regarding student emergencies and release of student information and proper student notification of family emergencies. Prepares and submits, to appropriate personnel, the notice of student’s absences due to prolonged illness or similar justifiable reason. Schedule use of the Vice President’s meeting and conference facilities. Assist in scheduling and maintaining calendars for the Associate Vice Presidents for Student Affairs. Draft and edit sensitive correspondence dealing with the daily activities of the office. This includes, but is not limited to, letters of recommendation, memoranda, thank-you letters, invitations, and other correspondence. Foster and maintain excellent working relationships, at the highest levels inside and outside of the university, including other campus officials; Chancellor’s Office personnel; government officials at local, state, and federal levels; and press; as well as the President’s Office, Department Directors, Deans, and other administrators. Compensation and Benefits
Starting salary upon appointment not expected to exceed $2,539 per month. CSU Classification Salary Range: $2,539 - $4,202 per month. Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

Entry to this classification requires fundamental written and oral communication skills, including a sound foundation in English grammar, spelling, and punctuation; an ability to understand standard office procedures; an ability to operate standard office equipment; an ability to learn office technology systems; an ability to perform basic arithmetic calculations; and typing and keyboard skills.
These entry qualifications would normally be obtained through completion of a high school program or its equivalent and some experience in an office environment.
