Director of Event Management
Summary Job Description:
Reporting to and working closely with the Associate Dean for Communications and External Relations, the Director of Event Management develops creative and innovative event strategies to ensure strong visibility and high attendance for key SIPA events. He or she has comprehensive responsibility for executing the unit's events calendar, assessing effectiveness and developing and implementing improvements. Primary responsibilities will include, but are not limited to, the following: Plan, promote and execute SIPA signature events, including those initiated by the Dean's Office, and provide leadership and guidance for events organized by SIPA centers, programs, and concentrations. Plan, manage and execute all event logistics, including scheduling, invitations and RSVPs, promotion, AV, live streaming, photography, video, signage, staffing, and catering, deploying appropriate unit staff to the effort. Utilize new technologies and platforms to expand audience reach, including FB Live, web conferencing, Zoom, etc. Develop promotional strategies to reach external audience segments, including alumni and donors, policy professionals, membership of professional associations, staff at think tanks, leading non-profits, and research institutions, etc. Collaborate closely with other CXR staff to promote selected events via the SIPA website, social media, newsletters, dedicated emails and media coverage. Maintain, manage and grow SIPA email lists, and record and track attendee programming preferences, event registration response and attendance. Establish event success metrics, solicit attendee feedback and provide post-event evaluation summaries, suggesting process improvements where appropriate. Working with School-wide stakeholders from Student Affairs, Faculty Affairs, Career Services and Alumni Affairs, oversee all planning and logistical aspects of SIPA graduation, including assigning roles and responsibilities for SIPA staff, liaising with the offices of University Programs and Events and Public Safety on all logistical matters, briefing all speakers, and ticketing and arranging a reception for an audience of 4,000. Integrate the operations of the School's Kellogg Conference Center into the wider event management operations of the unit with a particular focus on efficient scheduling and use of conference facilities. Supervise an Events Coordinator and the Manager of the Kellogg Conference Center.
Minimum Qualifications for Grade:
Applicant MUST meet these minimum qualifications to be considered an applicant. Bachelor's degree and a minimum of 4 years of directly related experience, including event management experience and demonstrated knowledge of and experience with event management and web conferencing platforms. Demonstrated organizational and supervisory experience essential. Additional Position-Specific Minimum Qualifications Applicant MUST meet these minimum qualifications to be considered an applicant. Excellent computer and digital skills essential, including Eventbrite, MailChimp, Word, Excel, Outlook, PowerPoint and social media; Excellent organizational and time management skills, including strong attention to detail and the ability to meet deadlines, multitask, and prioritize across key deliverables; Exceptional written and verbal communication skills; Must be able to work independently as well as with multiple teams; Availability to work evenings and weekends. Preferred Qualifications 5+ years of event management experience and demonstrated knowledge of and experience with event management and web conferencing platforms strongly preferred.
