Duties: Reporting to the Director of Marketing and Donor Participation, the Development Assistantwill serve a critical customer service and operational functionality within the Marketing team of The
Penn Fund department as part of Development and Alumni Relations at The University of Pennsylvania.
The Penn Fund directly supports current students by providing financial aid, enriching academics and
enhancing the residential experience. We are looking for a candidate who is passionate about
higher education and fundraising.
Chief respondent of all alumni phone and email inquiries submitted to The Penn Fund
list serv, providing excellent customer service by responding to all inquiries within 24 hours, internal
phone reception of all Penn Fund calls and voicemail messages, track all out-of-office replies, change
of email and bounce backs as well as submit all biographical and giving society updates in the
University of Pennsylvania's alumni database, ATLAS.
Assist with gift processing, credit card verifications and additional donor support related projects as
Assist with managing The Penn Fund Marketing Team Communications Calendar working
with the team to create Project Plans, schedule meetings and add and track all changes to the team
Calendar as well as the Development and Alumni Relations Calendar.
Work room and stationary manager who keeps a list of all stationary inventory and ensures that it is
stocked for departmental use at all times. Work with the Director, Assistant Director of Creative
Communications and Administrative Coordinator on all stationary ordering and refreshing. Maintain
a clean and well organized work room.
Participation in weekly Marketing team meetings as well as departmental meetings providing
creative feedback as well as ideas for projects and collaboration within The Penn Fund.
Collaborate with colleagues as well as peers from other Colleges and Universities to leverage
Industry best practices and seek professional development opportunities.
Provide staff support for donor and potential donor events, including assisting with strategies,
staffing the events, and following up with attendees as needed.
Provide team support to Director and rest of the department including assisting with
proofreading, data review of direct mail and emails to ensure accuracy.
Assist and participate with additional projects throughout The Penn Fund department as needed.
Qualifications: High School Diploma required, Bachelor's Degree preferred; 3-5 years progressively responsible
experience or equivalent combination of education and experience; strong customer service skills
and communications skills; ability to prioritize assignments in a fast paced environment and bring
multiple tasks to completion; Excellent organizational skills; Willingness to learn and take initiative,
Proficiency of Microsoft Office Suite; Must be a team player. Ability to work some
evenings/weekends to staff University and departmental events; occasional travel and valid driver's
