Front Desk Receptionist/Administrative Associate
Brief Summary of Work for this Position:
This position will oversee front desk and customer service operations for the office of the Vice Chancellor of University Advancement. The employee will interact with the public with patience and a positive attitude. This position will serve as an administrative associate for business operations for specific departmental funds in University Advancement (UA). These operations include:
•Processing and submitting travel requests
•Coordination of Purchasing Cards and reconciliation of transactions
•Processing and receipting of Purchase Orders
•Processing and submitting check requests, interdepartmental invoices, and journal entries
•Processing facilities and special project requests
•Assisting with miscellaneous support duties to ensure the success of UA goals and objectives
N.C. Minimum Required Knowledge, Skills, & Abilities:
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Additional knowledge, skills, and abilities required to perform the essential functions of the position:
Knowledge of UNCW practices and procedures in regards to business transactions
Ability to identify, analyze, and evaluate situations or problems to determine and implement appropriate courses of action
Ability to demonstrate proficiency in written and oral communication skills
Ability to organize and adjust workload to handle multiple responsibilities
Ability to maintain positive working relationships with UA administrators and staff along with their university partners that they encounter in their work
Must be able to respond to questions and issues that deviate from standard operating procedures
Must be able to compose and proofread correspondence using standard information and formats
Ability to understand and fully apply features of Microsoft Office Outlook, Excel and Word
Must be able to proactively anticipate needs of those being supported and work accordingly
Must have basic accounting skills to process standard business transactions within the division
Preferred education, professional skills and experience:
Manage access to administrator by screening calls and visitors to determine appropriate course of action
Serve as a liaison between administrator and subordinate units by relaying instructions and information and following commitments through to completion
Interact and communicate using judgment and discretion
Prioritize organizational needs regarding meetings, timeframes, and deadlines
