Conditions of Employment

Possession of a valid Driver's License is required.  Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

Due to the nature of this position, the successful candidate is required to complete a background check prior to assuming this position.

Department: Facilities Services

The Facilities Services Department is responsible for the design, construction, upkeep, repair, and maintenance of University buildings and grounds, totaling in excess of 1,250,000 gross square feet of building space and 346 acres of grounds.  The mission of the department is to provide an aesthetically appealing, well-maintained, safe and comfortable environment conductive to learning and productivity.

Major Duties

Under the general supervision of the Director of Facilities Services, the Administrative Support Coordinator will provide general office and administrative support including customer service, receptionist duties, back up work control coverage duties, and back up for department payroll, human resources document processing, and timekeeping duties.

Qualifications

Required Education: High school program, technical/vocational program, or their equivalents

Required Experience: Several years of related office work experience, equivalent to at least three (3) years.

Required Knowledge, Skills and Abilities:
Adequate experience to be fully functional in all technical aspects of office clerical work; ability to read and write at a level appropriate to the duties of the position; able to operate a personal computer with knowledge of basic Window programs  Excel and Word; experience with using e-mail programs and the internet; thorough knowledge of English grammar, punctuation, and spelling; thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages; ability to independently handle multiple work unit priorities and projects; ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist; ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections; ability to draft and compose correspondence and standard reports; ability to handle effectively a broad range of interpersonal contacts, including those at a higher level and those sensitive in nature; ability to keep complex records and maintain files.

Certification: Valid drivers license

Specialized Materials:
This position activities may require the use of the following: personal computer, photocopier, fax, calculator, multi-line telephone and other standard office equipment; and may operate automobiles in the course and scope of the position.

Responsibilities

The Facilities Services Office Assistant works directly under the Facilities Services Coordinator and performs the following duties to ensure the office can respond to any demand received by Facilities Services promptly, to ensure that the maintenance of the University can operate in an efficient and orderly fashion.

75% - Provides excellent customer service, answers telephones, types correspondence, makes photocopies, files, makes travel arrangements and processes travel requisitions, greets and screens visitors, opens, sorts, and distributes mail, receives keys for Lock Shop from campus users, and handles key request documents for the Lock Shop.

10% - Work Control Coordination ¿ Serves as back up to the Work Control Coordinator by assisting with data input into the work order system; processes on-line work requests, tracks and reports progress of work orders, prints monthly charge-backs, answers questions regarding work control policies and procedures, working with other units in regards to the status of work requests, expedites emergency and safety work requests, contacts Facilities Services craft by radio, dispatching emergency and safety request, i.e., spills, hazards, police calls for assistance, etc.

10% - Provides data entry for timekeeping, reviews and enters time off request from staff.  Reviews staff overtime for submission, enters notations for completed chargebacks and staff overtime into the Tamis System. Serves as the check handler for staff check pickups.

5% - Performs other clerical duties and responsibilities as assigned.
