The Administrative Assistant provides executive-level support to the Dean of the Frank G. Zarb School· of Business and successfully interacts with diverse groups of students, faculty, staff, alums, and the entire University community. This position significantly contributes to the efficient functioning of the School by working independently to perform duties as assigned. In addition, the Administrative Assistant will also serve as a project manager for special projects as needed. 

Responsibilities include but are not limited to the following: Coordinating the Dean's schedule and facilitating the planning for all meetings including preparing needed materials; serving as a liaison for all inquiries and engaging with the appropriate personnel to meet deliverables including effectively delegating tasks to staff; drafting and editing correspondence for Dean's signature; supervising the selection and management of the student aides and graduate assistants for the Dean's office including monitoring time records to ensure compliance with University requirements; maintaining appropriate staffing levels in the office while documenting time management. 


Bachelor's degree is required. Experience with Ellucian Banner preferred. The successful candidate must be detailed-oriented and have at least five years of progressive experience providing administrative support, including a minimum of two years with an academic department or dean's office, in a fast-paced, intellectually challenging environment. The successful candidate must also possess excellent oral and written communication skills, as well as superb problem-solving skills, exercising independent judgment and discretion to handle a diverse and challenging workload. In addition, the candidate needs to be capable of handling sensitive and confidential issues in a professional manner and handling multiple tasks expediently. Demonstrate outstanding computer skills, with proficiency in Microsoft Office products, including Word (mail merge and tables), Excel, Outlook, Access, and PowerPoint, to create complex documents as needed. Ability to use available databases and the internet to conduct research and gather data as required to carry-out the responsibilities of the position.
