Position Information: Responsible for the administrative support functions and coordination for the Special Program unit. Provides clerical support to the Special Program Team including transacting and coordinating tasks related to Career Fairs, Online Speaker request and Special Interest Student Events and Workshops. Interacts with employers and students to ensure successful task preparation for Career Fairs registration, invoicing and payment collection. Utilizes a comprehensive database system to record, track, retrieve and employer information, informational sessions and workshops. Schedules and reserves conference rooms or other facilities for employer/students use. Participates in planning, organizing and staffing larger or more complex events. In coordination with the Fiscal Manager, prepares purchase orders, work orders, recharges, and travel in compliance with UCR policies.
Additional responsibilities of the incumbent include but are not limited to providing financial, budgeting and accounting support; facilitating departmental purchasing needs; preparing invoices and when needed collection efforts, providing administrative support for departmental events; coordinating entertainment requests, and travel.
Budgeted hiring hourly salary range is: $21.85 - $23.39

Minimum Requirements: Minimum four (4) years of experience in administrative duties including prioritizing and organizational tasks, preparing and processing documents and materials in a high volume, fast paced environment. Ability to work in an environment with frequent interruptions requiring the need to re-focus quickly to deal with reactionary priorities.

Skill in communicating well with the general public; identifying the customer's needs and maintaining a commitment to excellent customer service. Skill in communicating effectively and professionally using tact and diplomacy. Ability to interact effectively with department staff, students, employers, as well as campus
and outside community.

Demonstrated administrative experience in an office environment with advanced knowledge in data exporting, tracking, preparation of spreadsheets, and documentation of transactional back-up reports by using software programs such Microsoft Word, Excel, and PowerPoint. Ability to quickly learn new customized databases for program administration.

Experience with purchasing, purchase order processing, and receiving and reconciling invoices. Experience with processing routine financial accounting / purchasing transactions with an online fiscal system and identifying account variances and differences. Proficiency in payment management processes, deposits and collections. Skilled in accurate record keeping with strict attention to detail.

Ability to plan, organize and prioritize assignments to independently meet deadlines and complete tasks with a high degree of accuracy, under pressure of constant interruption while working with confidential information. Strong written communication skills to include correct spelling, grammar, punctuation, editing and proofreading skills.

Ability to work effectively as an individual, a team member, and with diverse groups.

Demonstrated ability to maintain confidentiality at all times; including sensitivity to affirmative action policies as they pertain to employment.

Skill in reviewing and applying the department's policies and procedures to customers.

Skill in independently researching questions and making appropriate contacts for problem solving.

Hired applicant must successfully pass a background check through the Department of Justice.

Preferred Qualifications: Experience with Event/Program Coordinating

Prior experience with accounting specific software such as QuickBooks.

Use of project or event management software such as WorkFront, Symplicity, or Handshake.

Use of advanced features in Excel for graphing and charting.

Skill in independently researching questions and making appropriate contacts for problem solving.

Ability to make job decisions following established policies and past practices.
