Position Information
The Executive Assistant provides executive level coordination and support to the CFO/Vice Chancellor for Planning & Budget, and is responsible for the overall management of the Vice Chancellor's Office. The EA represents the CFO/Vice Chancellor in a professional manner, to a wide spectrum of distinguished visitors, and exercises sound judgment, tact, and the utmost discretion while facilitating a collaborative working environment between the Vice Chancellor's office and the Associate Vice Chancellors and Department Heads. Has a thorough understanding of the Vice Chancellor's priorities and expectations, and takes these into account when establishing, organizing, and prioritizing activities on their schedule. The EA strategizes and advises on university communications, meetings/travel schedules, and campus and community events, regarding the Vice Chancellor's role as it applies to each situation; and assists with the development of agendas for committee and standing meetings, tracks action items, coordinates follow up as necessary, and initiates policies and procedures to achieve maximum efficiency. As a principal staff advisor to the Vice Chancellor, the EA reviews communication materials and ensures that the Vice Chancellor is fully briefed on relevant issues and has all background and supporting materials for each engagement.

Minimum Requirements
Ability to multi-task with demanding timeframes.
Ability to use a high level of discretion and maintain all confidentiality.
Ability to function at an executive support level within a complex institution with demonstrated progressive experience in providing administrative and analytical support, including experience in coordinating special events, appointments, meetings, briefings, and committees.
Demonstrated ability to independently draft correspondence and written reports using excellent writing composition skills, including knowledge of correct English grammar, spelling, punctuation, and usage. Ability to express substance and nuance in both oral and written communications.
Demonstrated skill in working independently and following through on assignments with minimal direction and in setting priorities that accurately reflects the relative importance of job responsibilities. Ability to coordinate and manage a heavy workload ensuring effective outcome and providing for prioritization of assignments and fluctuating deadlines.
Strong research and analytical skills to evaluate issues and develop solutions to address complex and sensitive problems/issues. Demonstrated skill in determining needs and requirements to create a conceptual design for issue/problem analysis; skill in observing and evaluating the outcomes of a problem to identify key issues; skill in formulating logical and objective conclusions and recommendations.
Advanced service orientation.
Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
Strong analytical/problem-solving skills.
Strong skills to communicate and influence effectively with all levels of staff, faculty, alumni/donors, students and external constituents, both verbally and in writing.
Ability to anticipate and identify critical issues, perform data collection, obtain advice and input from campus resources as necessary, and formulate solutions prior to consultation with the Vice Chancellor.

Preferred Qualifications
Knowledge of federal regulations such as FERPA.

Advising and counseling skills.

Intermediate to advanced knowledge of common organization-specific computer applications.

Small to mid-level project management skills.

Demonstrated ability to translate observations, findings, and recommendations from analytical studies into concise and logical written reports.

Advanced knowledge of the organization's processes, protocols and procedures.
