Duties: Provide dedicated calendar support and management for standing faculty members affiliated with the Master of Science in Health Policy Research (MSHP), National Clinician Scholars Program (NCSP) and the Center for Healthcare Improvement and Patient Safety (CHIPS).

Perform general clerical duties as needed, including, but not limited to, copying, data entry, creating and editing documents, spreadsheets and PowerPoint presentations, inventorying supplies and preparing meeting materials.

Manage all Master of Science in Health Policy Research (MSHP), National Clinician Scholars Program (NCSP) and Center for Healthcare Improvement and Patient Safety (CHIPS) events (both standing meetings/events and special events), including, but not limited to, securing locations, ordering catering, managing invitations, reminders and attendee tracking, preparing event materials and acting as the on-site contact.

Create purchasing requisitions for all catering and supplies for the Master of Science in Health Policy Research (MSHP), National Clinician Scholars Program (NCSP) and the Center for Healthcare Improvement and Patient Safety (CHIPS).

Maintain detailed and accurate financial records and complete monthly financial reconciliations.

Process all reimbursements via Concur and PDA forms for the Master of Science in Health Policy Research (MSHP), National Clinician Scholars Program (NCSP) and Center for Healthcare Improvement and Patient Safety (CHIPS).

Oversee program facilities, including classroom setup and room reservations.

Coordinate and manage admissions and provide general support for Center for Healthcare Improvement and Patient Safety (CHIPS) fellowship, Center for Healthcare Improvement and Patient Safety (CHIPS) certificate and an affiliated training grant.

Other duties as assigned.

Qualifications: A High School Diploma or GED and 3 years to 5 years of experience or equivalent combination of education and experience required. Must be able to work directly and effectively with multiple constituencies, including faculty, students, senior administrators and staff. Highly proficient with word processing, databases, presentation and organizational computer programs and tools (MS Word, Excel, Power Point, file sharing services and calendar programs).
Experience with proprietary Penn systems, including BEN Financials, is a plus. Strong organizational skills. Strong attention to details. Ability to work under changing deadlines, priorities, and pressure. Able to exercise discretion with confidential information.
