Duties: The Executive Coordinator will act as the primary contact for all administrative activities for the Chair of the Department of Biostatistics, Epidemiology and Informatics/Director of the Center for Clinical Epidemiology and Biostatistics. He/she will manage the Chair/Directors' daily interactions with visitors, collaborators, senior management, staff, external colleagues, etc. This person will oversee the daily operation of the Chair/Director's office. The incumbent will also participate in other Department/Center activities, e.g., development, communications and faculty affairs. He/she will provide calendar management to the Director of Finance and Director of Academic Operations. S/he will also provide support for the Chair's research portfolio and extramural activities.
The Executive Coordinator will also perform various duties in support of the faculty affairs process for the Department and Center. Responsibilities include: processing secondary faculty appointments, reappointments, promotions; adjunct faculty appointments, reappointments and promotions; visiting professor appointments, reappointments; and CCEB appointments, reappointments for Associate, Adjunct and Affiliate Scholars. S/he will ensure timely submission of dossiers to faculty affairs, provide support to the Faculty Affairs Manager with faculty affairs processes, input CVs to FEDS, escort candidates during faculty visits and process visas when needed.
Qualifications: A Bachelor's Degree and 2 to 3 years of experience, or an equivalent combination of education and experience, are required.
This role requires a high level of independence, excellent interpersonal skills, and ability to prioritize and pursue multiple simultaneous tasks in a time-sensitive manner. The ability to handle confidential and highly sensitive issues is also required. This position frequently requires work outside of normal work hours as well as work on weekends.
