Stanford Pre-Collegiate Studies is the home of academic programs, both residential and online, that advance the education of academically talented, intellectually curious, pre-college students, worldwide.

The offerings of Stanford Pre-Collegiate Studies include a diverse array of academic enrichment programs that take place on the Stanford campus during the summer, including the Pre-Collegiate Summer Institutes that hosts 1300 high school students each summer, and the highly selective and long running Stanford University Mathematics Camp (SUMaC) and the Stanford Medical Youth Science Program (SMYSP), as well as several others.

In addition to programs that select students through individual application, Pre-Collegiate Studies works with schools and organizations around the world to bring groups of academically talented students to the Stanford campus for the International Institutes. This program introduces students to American college life, and includes mini-courses in a range of academic disciplines, as well as workshops in the leadership, design thinking, creativity and problem solving. Job Purpose

Reporting to the Director of International Programs, the International Programs Coordinator is responsible for administering residential and non-residential programs that are offered through schools and education organizations worldwide. These programs and courses target academically talented high school students around the world. The Program Coordinator will work with participating schools and organizations and will assist in developing programs, managing student records, organizing travel, recruiting contingent staff, hiring and supervision, coordinating program activities and classes, managing programs when in session, administration of financial processes, presenting to parents and students (potentially involving international travel), and preparing end-of-program documentation.

The ideal candidate has a strong interest in international education and wants to inspire talented high school students around the world, and has excellent judgment, integrity, flexibility, and creativity, as well as a positive attitude.

Core Duties*

The International Programs Coordinator will:
  • Provide general guidance and counsel on programs, policies, and services; participate in planning for future needs. For example, work closely with the Director to develop program information guides, participant and parent information packets, staff handbooks, and related materials. Evaluate programmatic needs based on prior years' feedback, and provide reports to the Director to be used in program development. Work with university offices that support the Institutes to evaluate services provided, and provide reports to guide decisions for program operations.
  • Participate as a member of a project team. For example, work closely with the Director to coordinate projects related to the International Institutes and Honors Academies. This may include developing a customized program for a school or organization, or projects to incorporate new features, such as cultural exchange programming, into the International Institutes.
  • Review and administer student records, analyze data, and make recommendations and first level, routine decisions on basic issues. For example, work closely with International Institutes affiliate schools and organizations to collect student data. Analyze student academic qualifications, English proficiency, and other factors to evaluate best fit for the program.
  • Collect and analyze data from multiple sources, prepare reports. For example, maintain detailed records of all affiliate organizations, and create summary reports to evaluate candidate institutions for future participation. Compare student survey data and instructor feedback with data collected from institutions.
  • Contribute to development of marketing materials and strategies, assist in planning and developing programming activities, outreach functions. For example, work closely with the Director to evaluate target markets. Work closely with SPCS marketing team to develop materials to promote the International Institutes and Honors Academies to students and organizations. May travel to select international locations to present the program to parents and prospective students.
  • May assist with the administration of financial processes. For example, responsible for reconciling accounts, approving and processing reimbursements and other transactions, settling accounts, managing departmental deposits, and processing high level financial transactions including contracts.
  • Contribute to developing and analyzing review process of offerings, policies and programs. For example, work closely with the Director, providing reports and program evaluation, to help determine optimal offering of summer programs, and to identify preferred schools and organizations for participation. Identify gaps in policies by reviewing incident reports and comparing with other programs.
  • Contribute to identifying trends, needs analysis, participate in the implementation and testing of technology. For example, work with SPCS IT team to develop administrative tools for maintaining student records, collecting data, producing reports, and communicating with affiliates.
  • Collaborate with other staff to approve and resolve complex issues. For example, in the planning and preparation phases, help resolve complex scheduling and space issues resulting from the coordination of multiple programs, During the summer program, work with residential and instructional personnel to approve appropriate support for all program operations, and resolve conflicts in scheduling and programmatic needs.
  • Serve as a subject matter resource to other departments; represent unit/department. For example, represent the International Institutes at conferences and other events.
  • May train and supervise volunteers, student and temporary workers. May supervise student workers and other contingent employees.

MINIMUM REQUIREMENTS Education & Experience:
Bachelor's degree and one year of relevant experience, or combination of education and relevant experience required. Advanced degree preferred.

Knowledge, Skills and Abilities:

Required -

  • Strong written and verbal communication skills.
  • Experience with Microsoft Office Suite. In particular, the ability to use Excel for tracking data, Word Mail Merge for documents and basic PowerPoint for presentations.
  • Customer service skills. The ideal candidate has a strong customer service orientation, and the ability to remain calm under stress when supporting students, parents and instructors.
  • Basic analysis and problem solving skills.
  • Relevant computer systems/technology experience.
  • Understanding of financial transactions.
  • Ability to learn and understand compliance with legal, financial, and university policies and external regulations.
  • Excellent planning and time management skills. The ideal candidate will be able to balance multiple priorities and deadlines with simultaneous projects that require attention.
  • Exceptional eye for detail, strong organizational skills, and ability to keep to deadlines.
  • Ability to travel outside the US for trips of short duration. Desirable -
  • Experience giving online and in person presentations.
  • Experience with evaluation tools such as Qualtrix and SurveyMonkey.
  • Experience in marketing to schools and event planning.
  • Proficiency in Chinese and/or Spanish language.
  • Experience with academic youth programs.
  • Understanding of Stanford financial transactions. Certifications and Licenses: None PHYSICAL REQUIREMENTS*
