Office Manager/Clerical Supervisor
Nature of Work:
This position is responsible for coordinating the administration functions for the Office of Admissions & Recruitment. This person will provide a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization. Serve as direct administrative assistant to the Director of Admissions.
Training and Experience:
Extensive knowledge of Microsoft Office Suite; excellent administrative skills and the knowledge of practices and procedures required to manage an office; must have the ability to identify and resolve problems and exercise independent judgment in making decisions; must have effective interpersonal and customer service skills; must have the ability to work collaboratively in a team environment; maintain a high level of professionalism; ability to communicate effectively in English, both orally and in writing; ability to effectively manage multiple priorities; extremely detailed; outstanding problem-solving skills; ability to work with professional integrity and discretion; capacity and willingness to accept duties with initiative and resourcefulness.
Illustrative Examples of Work:
(1) answer, screen, and transfer inbound phone calls; (2) receive and direct visitors; (3) handle request for information and data; (4) resolve administrative problems and inquiries; (5) prepare and modify documents including correspondence, reports, drafts, memos, and emails; (6) Schedule and coordinate meetings, appointments, and travel arrangements for staff; (7) prepare agendas for meetings and prepare schedules; (8) manage the ordering and supply needs of the office; (9) coordinate with other office on behalf of the Office of Admissions & Recruitment; (10) assist with management of the budget for the Office of Admissions & Recruitment; (11) manage student workers; (12) maintain and manage multiple spreadsheets for the office; (13) manage front desk and document intake; (14) other general clerical duties as assigned.
