Office Manager

Performs both standard and more advanced administrative duties normally under general supervision of Deans/Chairs of depts. Typical duties include performing standard secretarial and/or minor administrative duties, in addition to other specific duties as assigned/required that may include supervision of other support staff, student workers or temporary hires.

Day-to-Day Operations (Administration work e.g. answering calls, scheduling)

  • Monitors all inquiries (in-person, calls, emails)
  • Supervises all office operations (maintenance requests, inventory, )
  • Maintains student records, data, internship information
  • Schedules meetings
  • Calendar management
  • Assist the Executive Director as needed
  • Administer Budgets(in addition to creation and planning)
  • Monitors budgets and account balancing
  • Assist with staff reimbursements
  • Liaison with Bursar's, Foundation and Finance and Accounting
  • Travel Requests
  • P-Card Holder
  • Scholarship coordinator
  • Donor relations

Admissions

  • Monitors Academy Intake Process
  • Assist review process
  • ?Oversees all processes including incoming information

Mentor Supervisor:

  • Manages recruiting, selecting, training mentors
  • Supervising of Student mentors
  • Assist with training
  • Over see payroll
  • Maintains hiring and firing as needed

Event Assistant

  • Assist Academy events and meetings including Open Houses, Orientation, Graduation, Pizza Meet and Greet
  • Coordinates all room reservations
  • Serves as liaison between campus departments and Academy events and meetings including Open Houses, Orientation, Graduation, Pizza Meet and Greet, Summer Intensive
  • Coordinates all room reservations
  • Serves as liaison between campus departments and Academy

Public Relations Coordinator- Oversee public relations efforts of the Academy including:

  • Reviewing and maintaining the Academy website
  • Design brochures for The Academy
  • Creates a newsletter
  • Marketing
  • Alumni Relations
  • Acts as Social Media Coordinator
  • Will require some travel

Minimum Hiring Salary: $14.35. Six month Temporary Assignment

Required Qualification- High School diploma or GED and 3 years related experience.

Desired Qualifications:

Minimum one year of administrative experience

Minimum two years working in post-secondary education
