Enrollment Representative (part time)

Job description

The Enrollment Representative reports directly to the Director of Enrollment and will have responsibility for assisting the Director and other staff in all activities related to the recruiting and retaining of undergraduate and graduate students in the Division.  He/she will provide back up receptionist support as needed. The Enrollment Representative will be expected to communicate effectively with prospective students, current students, faculty and staff in other offices of the College and must have a working knowledge of all undergraduate and graduate degree and certificate programs offered by the Division.  

Essential Functions:

Continuing Education and Graduate Programs Support:

  • Provide basic information to prospective students and enrolled students about CE and Graduate programs and courses and direct to appropriate staff person;
  • Assist students with individual requests; examples: reimbursement request letters, travel directions, looking up login-PIN information, and assisting with navigating the Curry Web information system, accessing Blackboard, explaining forms;
  • Understand Division and College policies and procedures;
  • Provide basic information to CE and Graduate faculty concerning policies and procedures.

Recruitment and Marketing Support:

  • Assist with the follow-up of new inquiries; 
  • Input student inquiry data into the database
  • Run reports to generate lists of students needing follow-up letters or phone calls;
  • Prepare daily and ongoing mailings to inquiries, students and faculty;
  • Provide support for marketing efforts and distribution of calendar announcements to local media;
  • Maintain student files and identify students who are ready to have their CE admissions applications reviewed;
  • Maintain student folders and file drawers;
  • Answer multiple telephone lines and forward to appropriate staff person if necessary;
  • Greet/direct visitors, including prospective students, students, staff, faculty, and vendors;
  • Process responses to direct mail campaigns;
  • Prepare daily and ongoing mailings to inquiries, students and faculty;
  • Assist with special projects for recruitment efforts – large mailings, email blasts, faxes and updating or creating new in-house spreadsheets;
  • Schedule advising appointments.

Financial Support:

  • Verify financial clearance for all registrations and communicate problems to students;
  • Process credit card payments, cash receipts, and check payments;
  • Understand the financial aid process, verify students’ financial aid status and funds;
  • Prepare correspondence to students regarding registration status; prepare grade/payment verification correspondence for students with tuition deferments;

Registration and Student Records:

  • Assist in maintaining accurate registration, payment, enrollment, application, and matriculation files and computer records;
  • Provide support for the admissions application process and update Banner document tracking systems on a daily basis and enter application information into Banner;
  • Assist in maintaining accurate recruit and student computer records;
  • Log and track official documents, such as transcripts, Test scores and recommendations;
  • Assist students with the registration and payment process, in person or over the telephone; check student’s financial status in BANNER prior to taking registration; 
  • Input student information (registrations, payments, grades) into Banner; determine correct student level when starting a new student record; work with students on payment problems;
  • Assist with special projects for recruitment and retention efforts.

Course Section Coordination:

  • Maintain spreadsheets of course information, and resolve registration discrepancies; Create course sections for tutorials, independent studies, and internships.

General Office, Facility, and Administrative Support:

  • Provide general office support activities as requested by Director.

Minimum Qualifications:

  • High School Diploma
  • One to three years of office administrative experience.
  • Strong interpersonal communication, customer service skills, solid organizational skills and ability to prioritize multiple tasks and meet established deadlines.
  • High level of accuracy and attention to detail.
  • Intermediate proficiency utilizing complex computing applications on the systems and programs of College’s choice: currently by way of example, Microsoft Office Suite.

Preferred Qualifications:

  • Associate’s degree.
  • Previous work experience in a higher education or sales environment.
  • Working knowledge with Banner and Salesforce Databases.

At the College’s discretion, the education and experience prerequisites may be excepted where the candidate can demonstrate, to the satisfaction of the College, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
