Provides administrative support for the CAPER (Center of Advanced Power Engineering Research) program. Performs financial, scheduling, registration, and travel activities; serves as meeting coordinator at all CAPER meetings. Overnight travel may be necessary. Other duties as assigned.
Fiscal Support: 30% - Essential
Initiates and tracks payment of invoices for membership dues for CAPER. Tracks financial budgets; prepares financial reports for CAPER, and initiates a CAPER annual report. Other special assignments as determined by the CAPER Center Director
Scheduling: 20% - Essential
Schedules, reserves, and notifies all participants for conference calls; takes minutes and distribute. Prepares invitations, agendas, invite speakers and arrange catering for on- and off-site conferences and meetings; signage for meetings, hotel block reservations, meeting space arrangements, name badges, copies, etc. Plans catering for CAPER meetings and dinners.
Registration: 20% - Essential
Prepares and tracks all on-line registration for each CAPER meeting - 3 main meetings per year with 40 - 60 attendees. Serves as meeting coordinator at all CAPER meetings (registration, food, breaks, timing, pictures, PDH certificates, etc.).
Travel: 15% - Essential
Plans travel itineraries, processes requests for travel, makes travel arrangements (reserve rooms and rental vehicles), and prepares travel vouchers for CAPER Center Director and other designated faculty.
Post Meeting Responsibilities: 15% - Essential
Writes minutes and distributes thank you communications to speakers, members, and attendees. Prepares meeting financial reports, and ensure payments of all meeting expense. Prepares brochures, letters of intent, and power point presentations. Maintains accurate and organized filing systems.
A high school diploma. Related clerical experience may be substituted for a high school diploma.

Supervisory Responsibilities: No Supervisory Duties - Not responsible for supervising employees.
Budgetary Responsibilities: Monitors Budget - Does not provide input but is responsible for monitoring the departmental budget and may oversee fund allocation.

-2+ years experience event planning and responsibility.
Standard Hrs: 28; Band: 03; Pay rate for this position is $13.11 - $16.69 per hour.
This is a temporary time-limited, part-time position.
Employees who are in time limited positions will earn one and one-quarter days of Annual and Sick Leave per month for a total of thirty (30) days per year. Eligible part-timers will earn days on a pro rata basis.
