Job Duties: The Associate Director for Hospitality Services within Campus Living under the Division of Student Affairs. The primary purpose of this position is to develop revenue streams for Campus Living and other departments within Student Affairs and East Carolina University through increasing the utilization rate of campus resources, to include residence halls during the summer period of high vacancy and conference/meeting rooms during idle times during the school year and summer, by providing a well-coordinated and consistent conference and event experience. This business development is essential to the future success and growth of many campus departments as well as providing regional economic impact enhancement. This position which is solely responsible for all aspects of the conference services operation requires developing relationships with professional organizations on the local, regional and national levels to bring conferences and events to East Carolina University, as well as campus departments to coordinate activities and logistics of various events. This position will need to network with faculty and staff, market available resources and services, coordinate all aspects of conference and event experience, supervise and oversee professional staff and interns and perform other special assignments as designated by the Associate Vice Chancellor for Campus Living. Administration Create, maintain and develop uniform standard operating procedures for conference and event hosting. Oversee all of the stages of conference or event development, from planning to execution and performance analysis. This position will assign staff, coordinate operations by delegating day-to-day camp management responsibilities among different campus departments, ensure compliance with applicable University and state requirements and serve as chief liaison for organizational planning and agenda/logistics creation. Upon completion of the contracted event, this position will work with guests to assess the performance of each operational partner to assess performance and provide feedback to partners on operational improvements and process advancement. This position will directly supervise professional staff, student employees and interns from Hospitality Management program to offer professional development and real-world experience, including customer service, event planning and coordination, revenue development, and networking/communication skills. The Associate Director Hospitality Services will direct all operations of the Youth Programs and Camps Office, including establishing, evaluating and updating all PRR's for conferences and camps. This position will review the policies set forth and enforce the guidelines of Youth Programs and Camps Office, as well as local and national laws and applicable University regulations. This will include administration of background checks for camp staff, provide review and approval of space use for groups and ensure coordination of these reservations with relevant campus and local partners. Contract Management This position will market all available University resources and services and develop contractual agreements to represent the different departments involved including the determination of pricing with the flexibility to negotiate pricing in order to attract business. The role will require extensive knowledge of processes, procedures and fee structures for various campus departments (to include Parking & Transportation, Student Involvement & Leadership, Central Reservations Office and Campus Recreation & Wellness, among others) as well as the autonomy to market and represent these departments and East Carolina University as a whole. This position will evaluate opportunities to provide resources and/or services to create appropriate business development prospects. It will be responsible for the compliance to all pertinent laws, standards of conduct or ethics and regulations regarding the contractual agreements and expectations set forth. Marketing The Associate Director for Hospitality Services will utilize marketing techniques that correlate with best practices and current trends to sell the University and different conference or event opportunities. This includes leveraging social media opportunities, networking with organization officials and campus partners, and serving as an ambassador of East Carolina University. This position will attend local, regional and national conferences to seek out potential clients and identify areas that can grow the current conference and event services offered at the University. It is essential for the selected candidate in this role to have a deep understanding of East Carolina University, its departments and the resources and services available throughout campus and in the community. Supervision The Associate Director will have oversight of the Youth Programs and Camps Office, including all levels of promoting, hiring, training, supervision, coordination of scheduling, assigning of tasks and all other management responsibilities over the Office. This position will directly supervise the Coordinator for Youth Programs and Camps and will be responsible to contribute to the employee performance and professional development of any additional staff added to the office. This position will evaluate performance and provide feedback to the Coordinator and offer avenues and insight for the employee to further develop talents and abilities. Program Development and Financial Management This position will work with the Coordinator for Youth Programs & Camps to create new camp and conference opportunities to fulfill community needs and aid in regional transformation. The selected candidate will need to have experience implementing new camp and conference programs and a track record of success in these endeavors. After spearheading the development of camps, the position will need to transition from a leadership role to a liaison role to embark upon new projects and ensure sustained growth. This position will be directly responsible for developing and sustaining new revenue streams to support operations of Campus Living and other campus departments. This will require effective leadership, efficient usage of resources and fiscal responsibility. This position will need to serve in a fiscal management role to meet conference budgetary constraints, confirm all needs are met and that the experience leads to future partnership. The Associate Director will also be responsible for overseeing an operational budget for staffing, supplies, marketing expenses, conference travel, professional development and other functional needs. This role will require fiscal responsibility and oversight of the Youth Programs and Camps Office as well as other conference and event services budgetary needs. It will require other independent planning to contribute to the growth and development of the Campus Living offerings. This will include managing all day-to-day operational necessities, as well as long-range planning and making capital project recommendations to the Director of Housing Operations. Student Interaction The Associate Director will work with internal and external partners to hire, train, supervise and coach student employees in proper customer service qualities, necessary planning skills and time management techniques to meet deadlines, among other qualities. This position will also oversee the performance of interns from the field of Hospitality Management and offer real-world opportunities and experiences in the field. The position supervises a summer conference staff to provide hospitality services to all summer conference groups booking space on campus. This position will require interaction with student employees in the respective NSOs and various campus departments to coordinate efforts and enhance performance. Other Duties This individual will also represent Campus Living on numerous campus committees, as well as East Carolina University at national conferences and through marketing/networking activities. It will be incumbent to stay current on best practices and current trends in academics, conference and event services, marketing, and student development. It will also require acute knowledge of laws, regulations and standards at local, regional and national levels to verify departmental compliance and guidance to others in this area.
