Manage academic area providing administrative and operational support for the Entrepreneurship & Innovation group of the D'Amore-McKim School of Business, General office duties including: ordering adequate office supplies, maintaining office equipment, typing, filing, mail sorting, scanning, photocopying, faxing, printing and answering department telephone. Group coordinator: Provide direct operational support for the E&I Group coordinator. Assist group coordinator with recruiting efforts and data collection derived from it, create and/or maintain webpages or blogs with group information, help to track and reconcile departmental budget, process and monitor AmEx Corporate Card receipts/Concur. Maintain accurate monthly spending within the department's budget. Assist with processing transactions for faculty and staff and purchasing goods and services for the department. Keep records and enter financial data into Excel and QuickBooks for Entrepreneurship department. Maintain a thorough knowledge and understanding of the D'Amore-McKim School of Business and University policies, and procedures. Event coordination for faculty activities, including scheduling events, booking meeting/event space, reserving AV equipment, assisting with travel arrangements for guests, tracking RSVPs, and ordering catering. Ensure effectively run department, systemize and direct all administrative/office services and project workflow for approximately 18 full time and 6 part time faculty. Support faculty with processing book adoptions, coordinating and copying course materials, committee responsibilities, and provide continuity of support for their teaching, research, and service activities. Assist professors in proofreading manuscripts and preparing bibliographic references for journal publications. Student support: Provide an office atmosphere responsive to student needs by having thorough knowledge and understanding of College and University policies and procedures. Assist and direct student inquiries and respond to their concerns. Provide information on faculty office hours and location. Coordinate and proctor make up exams. Share responsibility for onboarding new faculty and staff (tracking applicants, setting up sponsored accounts) and managing payroll (reviewing timesheets) for student hires.
Bachelor’s degree preferred. Experience in office support and strong administrative skills needed, included successful work experience supporting managers in a university, business or governmental context. Excellent interpersonal and communication skills are necessary to serve as first point-of-contact for the Group. Must have superior multi-tasking and organizational skills with the ability to respond to various requests and tasks simultaneously. Strong proofreading and follow through skills are essential. Budgeting and accounting experience preferred. Quickbooks experience a plus. Proficiency in Microsoft Office (Excel a must). Must enjoy interacting with a diverse student and faculty population. Must demonstrate maturity, tact and have the ability to maintain a high level of confidentiality.
