The primary purpose of this role is to support the Multidisciplinary Graduate Engineering (MGE) Unit and to contribute to the overall effectiveness and daily operations of the office. The administrator provides critical administrative functions including expense reporting, meeting scheduling, electronic file processing, event organization, and maintaining general office functions. The administrator provides very important customer service functions including frontline visitor reception, telephone coverage and responding to co-op inquiries by both prospective and existing students. The administrator identifies when to appropriately refer inquiries to management and performs word processing, preparing reports, and co-op specific university paperwork. The administrator will support meetings, including organization, food ordering, etc. Manage work-study students including recruitment, hiring and training, and provide all necessary support to co-op staff and faculty for the effective operation of the Multidisciplinary Graduate Engineering Unit. Provide administrative support to the Associate Dean of Multidisciplinary Graduate Engineering and Digital Learning when needed, and to other members of the department as appropriate.
Associate degree required, minimum of 2 - 4 years of experience in a customer service, academic or student services environment. Must be able to multitask, work independently, and prioritize activities to manage responsibilities. Excellent computer skills required including word processing, writing and proofreading skills as well as familiarity utilizing the full Microsoft Office, suite web pages and databases. Ability to learn multiple software programs and troubleshoot problems with the support of Northeastern’s IT department. Demonstrated ability to handle sensitive and confidential matters with discretion. Must have strong organizational and interpersonal skills as well as the ability to problem solve and work independently. Ability to interact with individuals at all levels with diplomacy, discretion, and tact. Willingness to accept and take on added responsibilities as the department moves forward. Familiarity with electronic purchasing and expense reporting preferred.
