Advertised Job Summary: 1) Prepares letters of appointment to prospective tenure-track, clinical and research faculty members; notifies chairs of reappointment letters that need to be initiated and secures concurrence before preparing letters of reappointment for faculty on annual reappointments; submit reappointment letters/acceptances to HR for processing; prepares adjunct letters of offer and establishes files for all faculty, staff and adjunct faculty members. 35%; 2) Notify departmental/center administrative staff of employees with ending dates for new paperwork. Process and oversees the following paperwork: PGP's, PBP4/5's, dual employment, ECOM, hiring packets, hire above minimum approval, OIS paperwork, administrative leave forms, bonus payments, HR27 forms. 25%; 3) Serves as liaison between Human Resources/Employment/Payroll and our department/center offices. Works closely with staff in HR to ensure employees will be paid promptly. Explain different mechanisms available for employees to receive additional monies; works closely with Payroll to secure necessary documents for employees to be paid, i.e. direct deposit, tax forms, election/non-election forms for retirements. Serves as the ITAMS coordinator for the College. Collects college-wide leave, maintains ITAMS leave records and submits leave for the Dean's Office and departments under the Dean's Office. Approves weekly timecards for several employees 25%; 4)Manage EPMS review process for staff, including notification to supervisors, technical assistance, review and final submission to appropriate office. Filing of RIF plans, preparing written reprimands on an as-required basis. Maintains electronic dababase of permanent, temporary and research-grant faculty and staff. 15%.
Minimum Qualifications (Classified and Unclassified positions): Master's degree and 3 years related experience in business, public administration or administrative services, or bachelor's degree and 5 years related experience; or equivalency.
