Administrative Associate II
Position Summary: Under the direct supervision of the Associate Director, this position is responsible for collaborating and assisting with front office operations, providing administrative support to all department staff members, as well as providing support in coordinating event-related activities. This position also assists with supervising student staff. This position will interact with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload. This position is essential to mission of department in providing excellent customer service to constituents and maintaining a highly organized and productive unit.
Responsibilities: Manage invitation lists, mailings, event RSVPs, and event correspondence: *Interact with other departments to request information for event mailings *Compile and generate invitation lists in correct excel format *Review invitation lists, envelopes and RSVPs lists for accuracy *Manage inventory of event materials needed for mailings *Produce event briefing information and books for other departments and units as directed *Provide assistance to event coordinators with printed materials *Design and print invitations, welcome letters, confirmation letters, etc. *Proof read and provide quality control of correspondence from the office *Post-event follow-up including letters, photo mailings, etc. *Provide Football Committee support
Qualifications: High school diploma or equivalent and three years of progressively responsible office experience OR Associate's Degree and one year of responsible office experience may be required.
