Position Summary: This position is directly responsible for daily oversight, problem resolution, and enhancement of all processes within the University Events Office for academic space scheduling and facility utilization coordination. Responsible for 25Live applications pertaining to academic space and event scheduling, including development of test plans and directing testing for system upgrades. This position is responsible for ensuring the accuracy and integrity of academic space and event scheduling reservations. This includes managing academic schedules, reservations, room set-ups, and accommodating internal and external clientsa€™ needs. Assist Director with the planning and coordination of the annual commencement ceremonies and other relevant commencement activities. Responsibilities: Maintain and manage functional implementations or upgrades of (add 25Series class scheduling system, design and documentation business process). Manage the 25Series line of productions, including 25Live Event Management, 25Live Class Scheduling Lynx, 25Live Administration Utility and 25Live Configuration Utility. Manage interface between 25Live system and the SIS, investigating errors and running logs to identify potential issues. Collaborates with Registrar or Associate Provost on scheduling of course offerings. Assigning classrooms in 25Series for all four collegesa€™ course based on space, class size, and technological needs. Write rules, tests, and filters for Colleague system which is used for distributed class scheduling. Maintain cancellations or changes of all classroom assignments, including communicating late classroom changes to faculty, staff and students. Create and maintain room assignments for Continuing Education workshops. Exhibit understanding of class time scheduling guidelines. Maintain appropriate security access for all users in 25Series and Colleague and monitor use to ensure compliance with policies and high data quality. Create/Maintain a variety of 25Series calendars. Lead continuing efforts to improve scheduling and calendaring applications. Prepare space utilization reports. Assist with managing space reservations and approvals. Develop facilities scheduling procedures to maximize effective space utilization. Work to maximize space availability and monitor space utilization through strategic scheduling practices and the use of 25Series scheduling software. Ensure that GSU guidelines and rules are followed for events posted on University calendar. Work with staff to determine event needs and allocated space in the most appropriate manner. Work closely with facilities and other university departments to arrange for event details and logistics. Coordinate with commencement ticketing vendor, to include maintenance of links, pre- and post-evaluations, delivery, training, testing of scanners and other components. Assist with coordination delivery and distribution of Student Regalia Assist with preparation and setup of commencement venue. Assist with coordination of details related to Commencement and related events. Supervise the day to day office functions of event specialist to ensure that goals of the individual as well as the office are being achieved. Serve as backup to Emergency Response Team (ERT). Must attend trainings and meetings when necessary. Develop and recommend administrative policies and procedures for unit. Represent unit on university committees and meetings. Perform other duties as assigned.

Minimum Qualifications: Bachelor Degree plus two years of experience, or equivalent combination of education and experience, with increasing responsibilities. Three yearsa€™ work experience that provides a working knowledge of database applications, running queries, creating database tables, and working with word processing and spreadsheet applications. work experience working with 25Live, Ellucian, mid-to-high level of work experience working with SaaS environments. Competencies Must have knowledge of various computer software (MS Office) and student information systems (preferably Ellucian Colleague, and 25Series) Exhibit strong interpersonal, written, verbal communication and organization skills understanding of organization-related issues. Exhibit excellent time management, strong analytical, problem-solving, organizational, and communication skills. Must demonstrate leadership, professional integrity and ethics, take initiative, value personal and professional development; be results driven and sustainable. Ability to work independently to perform all aspects of class and event scheduling, including analysis of all details, problem identification/resolution, with strict adherence to deadlines and university policy and procedure.

Preferred Qualifications: Bachelor degree Work experience in higher education

Work Schedule: Monday through Friday, 8:30 a.m. to 5:00 p.m., with a 60 minute unpaid lunch Occasional work before or after regular work hours and on weekends.
