ADMIN COORDINATOR ENDODONICS
Duties: Provide support for Chairman of Endodonics and Faculty. Process dossiers for faculty appointments and reappointments. Create mail and maintain all correspondence filed for the Endodonics Department and other affiliated departments. Maintain clinic resident schedules and clinic faculty schedules. Organize lunch seminars and annual graduation dinners and other departmental events. Schedule meetings and reserve rooms. Purchase and maintain office supplies. Review monthly budget reports. Create Purchase Orders (POs) and other orders using ProCard. Assist in the monthly preparation of monthly Microsurgery course. Manage social media accounts and act as central point of contact and coordinator for accounts (e.g. Facebook, Inside PDM, Department specific-website).
Under direct supervision, carry out customer service, administrative and clerical duties. Handle complex and confidential information. Provide documentation, handouts and announcements for students, faculty and staff as directed. Schedule and plan meetings, rooms, arrange lunches, maintain and disseminate information. Purchase and maintain office supplies, machines and specialty administrative material relative to clinics, students, dentists and patient records.
Provides administrative support to Department Chairman, program directors, department faculty, residents and staff members. Coordinates and maintains Chairman's calendar, including scheduling appointments and meetings, making meeting arrangements. Drafts and proofreads routine and complex correspondence. Make travel arrangements, complete expense reimbursements and Procard transactions. Provides general office support, including greeting and directing visitors, answering phones, and routing or responding to requests. Provides support to other administrative support staff as needed. Performs other duties as needed or assigned.
Qualifications: A Bachelor's Degree strongly preferred and 5 years of experience or equivalent combination of education and experience is required. Previous experience supporting faculty / senior level leaders preferred. Technical proficiency with different programs and databases (Microsoft Office Suite, Smartsheets, Adobe, etc.) and social media platform management and communications (e.g. Facebook, Twitter, LinkedIn). Demonstrated to work well with different stakeholders and diverse audiences in a collaborative and respectful manner. Possess cultural competency and openness in working with different international audiences, visitors and students.
