Duties: The Admin Coordinator will report to the Associate Director and provide overall support to the Director and the Boettner Center for Pensions and Retirement Research. Primary responsibilities include: manuscript editing, proofreading, event coordination, website support, financial transactions, and other administrative duties.
The Admin Coordinator will work with the Center Director, Associate Director, authors, and publishers in our annual publications process. Incumbent will collect working papers from authors, proofread and edit papers, and format according to publisher standards. The Admin Coordinator will manage all aspects of this process from working paper to book publication. Attention to detail is required for editing graphs and tables as well as all book matter for submission to the publisher.
The incumbent will coordinate PRC events and annual conferences including: invitations, dinner arrangements, agendas, thank you gifts, and conference notebooks. Incumbent will also track invites and make appropriate follow ups. Event planning will involve working with caterers, vendors, obtaining contracts for services, and processing travel reimbursements and honorariums/lectures fees for participants.
The Admin Coordinator will also help manage the Center's website and internet presence. Responsibilities include: utilizing WordPress to update the website content for working papers, book chapters, news, and videos. The incumbent will assist with drafting various communications such as the monthly newsletter sent out via a web-based contact management system, as well as distributing publications to PRC Board Members and Partners.
Additionally, the incumbent will assist the Associate Director with financial transactions as needed (as backup to the Admin A) such as the University's Purchasing Card, BEN Deposits, BEN Buys, and the Concur Travel System.
Qualifications: A high school diploma and 5-7 years related experience or equivalent combination of education and experience. Bachelor's degree preferred. Experience with event planning and proofreading/editing preferred. Must be skilled in Microsoft Applications including Word, Excel, and PowerPoint (Access a plus). Must also have knowledge, or be willing to train in, various website platforms and internet technologies including: Acrobat, WordPress, YouTube, and Twitter. The candidate must have excellent organizational skills, strong verbal & written communication skills, attention to detail, ability to take responsibility for high-quality work produced in timely fashion, and ability to work effectively in a team atmosphere. Experience working with external clients, publishers, and constituents in a professional manner preferred. Candidate must be able to work with complex data in manuscript tables and figures, under the supervision of the Center Director. Candidate must also have knowledge or be willing to train in University systems including BEN Financials, Concur Travel Systems and other systems required to complete job functions.
