Job Duties: The Associate Director for Program Services will coordinate the daily operations of the program and work closely with students and other staff members to ensure a smooth flow of communication, resources, data collection, and coordination related to STEPP Program goals. The three primary functions of this position are (1) student support and daily operations; (2) advising; and (3) tutor management. This position will require availability in the STEPP office, close collaboration with all team members, consistent communication, and superior organizational skills. The person in this position will also represent the Director and serve as the designee for the STEPP Program in the Director's absence. Student Support and Daily Office Operations: -Coordinate all day-to-day activities in the program -Serve as liaison for STEPP Program Parent Council -Coordinate Student Advisory Board -Serve as point person for office phone calls, STEPP Program emails, and inquiries related to advising and office coordination -Oversee and maintain all student schedules, disseminate announcements and information, handle and/or delegate routine miscellaneous office tasks (e.g., mailouts, taking meeting minutes, signage, etc.) -Track and document grades, participation and performance (in conjunction with Instructional Specialist) for ongoing program evaluation and special projects (e.g. grants, research, etc.) -Maintain documentation of compliance, research forms, permission forms, FERPA, etc. -Maintain and update the STEPP website & social media -Be available as needed for individual student support -Work Assistant Director for Transition to develop materials coordinate schedule for yearly Boot Camp -Coordinate activities around student attendance in summer orientations. -Participate in planning/vision and then coordinate details of special events and community building opportunities -Serve on STEPP Program Advisory Board for both general purposes and as a member of the subcommittee that makes admissions decisions -Maintain- At-a-Glance/Current Contact Information and updates for all students (current and past) as we become aware of them -Serve as designee for STEPP Program Director as appropriate when needed. -Collaborate with other STEPP Program staff members to develop, monitor, and refine the program's materials, experience, and resources (common to all positions) -Develop and maintain up-to-date directory of students, families, and other supports connected with the STEPP Program. -When applicable, represent the STEPP Program at appropriate conferences, meetings, or events. -Collaborate with Associate Director for Transition, as appropriate, for recruiting and messaging efforts. Advising: -Advise all student participants using a co-advising model in partnership with each student's intended major -Serve as liaison to ECU offices/departments, community colleges; foster feedback loops, and coordinate delivery of student supports and services (e.g., DSS accommodations) Tutor Management: -Recruit, hire, train, schedule, monitor, and evaluate STEPP tutors; coordinate with PTC on Learning Assistant project (formerly with assistant director - but the instructor may be able to more effectively ensure content/strategies/skills taught in PS coursework transitions to student support from tutors -Coordination with PTC for lead-tutor activities
