Duties: This position serves as the primary support for the Wharton Finance and Administration department of 25 people. The position must understand the seasonality of the various functions of the office and be proactive in lending support where appropriate.
Duties include, but are not limited to, supervising student worker and any temporary workers, facilitating the front desk (reception) work flow, maintaining a tracking log of all forms and correspondence processed by the office, tracking the spending of certain academic initiatives, recording revenue payments received by Wharton Executive Education (WEE), being an expert on travel policy and answering inquiries from throughout the School, adding students to Concur, performing initial phase of monthly reconciliations of financial transactions of the Financial Operations subgroup which involves at least 12 departments, updating the information on the F&A website, ordering weekly office supplies, processing legal bills & new fund requests, and filing monthly Use & Occupancy tax returns.
Non-routine duties include planning staff appreciation events, coordinating School-wide Clean-Up Day, and supporting Penn's Green Office Initiative and other ad-hoc projects.
Qualifications: A high school diploma and 5 years to 7 years of experience or equivalent combination of education and experience is required. A Bachelor's degree is preferred.
Strong organizational skills, ability to prioritize multiple tasks, and meet deadlines in a busy environment is required.
Excellent written and verbal skills required.
Outstanding interpersonal and problem solving skills; the ability to work with people at all levels is required.
Advanced knowledge in Microsoft Office, including Outlook, Word, Excel, and Powerpoint required.
Knowledge of University Financial systems and policies (BEN Financials, Concur) is strongly preferred.
Ability to manage multiple, and sometimes, conflicting priorities is preferred.
